MINUTES FAMILY DAYS COMMISSION May 4, 2015 The Family Days Commission met in the Community Conference Room of the Village Hall at 4:00 p.m. on Monday, May 4, 2015. In attendance were: Present: Barb Reich, Co-Chair Phil Bettiker Angie Butera Mike Butera Judy Geuder Barry Gray Ed Seidman Also Present: David Fitzgerald, Management Analyst Jay Zahn, Park District Tom Keane, Police Department Greg Hury, Police Department Glen Zemke, Fire Protection District Susan Karp, Silent Auction Esther Finne, Poster Contest Bill Davis, Flower Show Jennifer Davis, Flower Show Minutes Commissioner Seidman made a motion to approve the April 20, 2015, minutes and Commissioner Geuder seconded the motion. The motion passed unanimously. Public Comment There were no comments from the public. Bike Parade Commissioner Angie Butera reported that she is prepared for the event and received the unsold glow items from Village Hall. She is also getting items from the Police Department and Fire Protection District. Dog Show Co-Chair Reich reported that Barking Lot will again sponsor the event for an in-kind sponsorship. Flower Show Committee Member Jennifer Davis reported that she has lined up the judges for this year and got two volunteers to help on July 4. She noted that some categories will be combined this year, as some only had one entry last year. She noted that the bud vases purchased two years ago have not been found in storage and she will purchase new ones. Publicity will include a post on Channel 10. Poster Contest Committee Member Ester Finne reported the poster contest will take place again this year with cash prizes and gift cards to the Italian Kitchen. Optimist Sale Co-Chair Reich reported that an outside vendor will sell glow items this year. A portion of sales will come back to Family Days. She noted that the Optimist Club will still sell wristbands for rides and collect donations on July 3. The Optimist Club can also help with the Parade and Rotary Race. Parade Co-Chair Reich reported that Mike Delaney will not run the parade next year. Management Analyst Fitzgerald reported that staff sent out mailers to past parade participants and applications are coming in. Commissioner Michael Butera reported he will check to see if the Lions Club is interested in remaining the parade organizer. Rotary Race Commissioner Gray reported that the race will start at 8 a.m. again this year and follow the same route. He noted that a bike cop would be requested again. He stated that the Fire Protection District had a paramedic stationed at the race last year and would be liked again this year. He noted that Boy Scouts would help again this year and the shirts will be lime green. Co-Chair Reich requested that the logos be bolder and sized according to sponsorship level. He will get a proof of the shirt from the vendor. Commissioner Gray and Jay Zahn will meet to mark the course. On-line registration is coming soon. Silent Auction Committee Member Susan Karp reported that she sent out a letter to past donors and has received 10 items to date. 59 items were donated to the auction last year. She asked for more signs on July 3 to direct people to the silent auction. She will have half-sheet fliers made to direct people on July 3. Co-Chair Reich stated that the DJ will promote the silent auction. Ms. Karp also noted that she will need to have 10 tables, a few chairs and lights. Arts & Crafts Commissioner Geuder reported there are three new vendors this year and that the response to date is better than last year. Food Co-Chair Coughenour reported that many vendors have submitted their applications and that Rosati’s and Cookers Red Hots will be in shortly. Wrist Bands Co-Chair Reich reported that she ordered new wrist bands and presales will start June 1. Police Update Deputy Chief Tom Keane asked for input from the Commission for ways to improve the Department’s role in Family Days. Co-Chair Reich noted that a safety briefing for volunteers at the Patty Turner Center on July 3 is desired. She also asked to have more officers around on July 3, especially near the stage area. Commissioner Bettiker requested cones for the parade route. Fire Update Glen Zemke reported no changes expected for this year. He will work to have a standby ambulance at the Rotary Race. Reimbursement Analyst Fitzgerald asked for all reimbursements to be submitted to him with a receipt. He noted that the Village is a tax-exempt organization and can purchase items for Family Days without being charged sales tax. Thermometer Sign Mr. Fitzgerald noted that the sign is near completion and received updates regarding the proposed sign. Committee Dinner Commissioner Angie Butera is checking to see if Wednesday, Aug. 5, is available for the event. Other Items Committee Member Karp inquired about making Family Days a 501(c)3 organization. There was conversation regarding this topic. Because Family Days is under the control of the Village, it cannot be a 501(c)3. Co-Chair Reich asked for concealed carry signs to be clearly displayed at the parks. Jay Zahn stated the signs are displayed. Adjournment Commissioner Bettiker motioned to adjourn. Commissioner Gray seconded the motion. The motion passed unanimously.
