MINUTES FAMILY DAYS COMMITTEE May 5, 2016 The Family Days Committee met in the Community Conference Room of the Village Hall at 4:00 p.m. on Monday, May 5, 2016. In attendance were: Present: Barb Reich, Co-Chair John Coughenour, Co-Chair Phil Bettiker Angie Butera Judy Geuder Ed Seidman Committee Members Present: Janet Youngberg, Flower Show Marilyn Knilans, Arts & Crafts Janice Becker, Rotary Race Also Present: David Fitzgerald, Management Analyst Brian Budney, Police Greg Hury, Police Tom Keane, Deputy Police Chief Brian McCarthy, Fire Department Minutes Commissioner Seidman made a motion to approve the April 20, 2015, minutes and Commissioner Geuder seconded the motion. The motion passed unanimously. Public Comment There were no comments from the public. Bike Parade Commissioner Angie Butera reported that she would like to leave the event in its normal location and have the bike parade go through the Shoppers Court parking lot to get to Jewett Park. She noted that extra bike corrals would be required due to last year’s high turnout. Co-Chair Reich stated that she should contact Jay Zahn regarding the additional corrals. Dog Show Co-Chair Reich reported that Pet People will be a new sponsor this year. She is waiting to hear back from Barking Lot for this year’s in-kind sponsorship. Flower Show Committee Member Youngberg reported that she has lined up the judges for this year. She will contact the Park District regarding access for set up. Poster Contest Co-Chair Reich reported that she has not heard from Esther Finne. Optimist Sale Co-Chair Reich reported that an outside vendor will again sell glow items this year. The Optimist Club may sell some items provided by the vendor at tables. Parade Commissioner Geuder reported that she has secured all of the paid supporters. She requested an extra $500 for entertainers. It was approved unanimously. She reported that the Lions Club will help with staging the floats. Planning is going well and she will use cones from Public Works to mark spaces. She discussed the staging flow. The American Legion is the grand marshal. Rotary Race Committee Member Janice Becker reported that the race will start at 8 a.m. again this year and follow that same route. He noted that a bike cop would be requested again. She stated that the Fire Protection District had a paramedic stationed at the race last year and would be liked again this year. She noted that Boy Scouts would help again this year. The shirt will feature a wicking fabric. Trophies and medals have been ordered. Co-Chair Reich asked him to provide information regarding in-kind donations to update the ad count. Silent Auction Susan Karp was unable to attend. Co-Chair Reich reported that she had sent out letters and received a number of items for the auction. Arts & Crafts Committee Member Knilans reported that she sent out two notices and had 12 vendors so far. Entertainment/Stage Commissioner Butera reported that 102.3 FM will have a booth on July 4 from 1 p.m. to 3 p.m. and provide on-air promotion of Family Days. Food Vendors Co-Chair Coughenour reported that that contracts for Tiki Hut, Tropical Chill, Cookers, Fore Restaurant and Fresh Thyme are in. He is waiting to hear back from Mario’s Cart. Sponsorship/Brochure Co-Chair Reich stated cut off is May 6. She stated there are fewer $100 ads than last year, but some new sponsors. So far, she has raised between $12,000 and $13,000. Police Report Deputy Chief Keane had no report. Fire Report Fire Commissioner McCarthy noted the Mad Bomber has not contacted them, but that they are easy to work with and normally don’t reach out until closer to the event. Commission Comments Deputy Chief Keane suggested signs on July 3 reminding that no open containers of alcohol or sprinklers are allowed. Co-Chair Reich asked that it go in the brochure. Commissioner Geuder suggested sending elected officials a letter reminding them of the parade rules against throwing candy and asking them to not hold up the parade by slowing down and causing gaps. Commissioner Angie Butera noted the Family Days Facebook page only has 55 likes. She asked if she should keep using it. It will not be used and the Village will promote the event using its social media. Commissioner Angie Butera stated she would like all people who use the rides to have a wrist band, including parents and other adults. She suggested a sign at the sales table. Commissioner Bettiker asked to have something in the brochure thanking Mike Delaney for his past work as parade manager. Co-Chair Reich reported the next meeting will be held on Monday, June 6, 2016, at 4:00 p.m. Co-Chair Reich noted that some items for the silent auctions have been received already. Adjournment Co-Chair Reich motioned to adjourn. Commissioner Bettiker seconded the motion. The motion passed unanimously.
