Minutes Sister Cities, Assembly Advisory Board Meeting November 14, 2016; 5 p.m. Bartlett Foundation Conference Room Committee Member: Maria Uchytil (Co-Chair) Marsha Squires (UAS Liaison/Member) Eli Olson (Secretary) Miranda McCarty (Member) Chloie Watson (treasurer) I. Call to order a. Meeting was called to order at 5:06PM, by Maria II. Agenda Changes a. After receiving an email from one of the host parents for the exchange students in regards to the City Assembly meeting with the presentation of the exchange students to the Assembly, a clarification on the role of the Sister Cities Committee in regards to this event in future years needs to be made b. A note shall be added to our Google Drive to have the Assembly member try to meet with the exchange students before the meeting starts and to possibly have the exchange students observe some of the meeting itself. i. One idea presented is to have the presentation of future students to the Assembly be moved to the middle of the meeting instead of at the beginning. III. Approval of October Minutes a. Amend the October minutes on line IX part A to (All high school exchange students (Rotarians, AFS, YES students) b. Minutes with amendments approved by all members IV. International Education Luncheon Update a. Per Marsha: all is ready for the presentation, however only 3 students have RSVP’d, but Marsha expects all the exchange students to show up b. They will meet in the John Pugh residential hall and start the tour from there c. Marsha has planned for 4 UAS students who have been exchange students or are currently exchange students to talk to the high school exchange students d. They will have lunch and discuss how things work differently in college i. College life itself, Visa’s, American culture, education, and high school versus college V. JEDC Innovation Summit – Whitehorse participation a. Maria gave JEDC our Whitehorse contacts information for them to work out when they want to come down for the Summit. b. This summit is set to take place in February from the 15th to the 16th c. We believe this will coincide on the same week as the rainforest classic hockey tournament i. We therefore would like to make it known to the Whitehorse people that they can come for the Innovation Summit and possibly stay for the hockey tournament VI. Filcom money a. Chloie has been making requests to the city asking how we might use the $2000.00 raised by FILCOM to assist Kalibo and a possible solution has been presented b. A motion has been put forth by the Co-Chair Maria Uchytil i. To use the $2000.00 raised by FILCOM to fund a member of Kalibo to fly to Juneau for the JEDC Innovation Summit from February 15-16th 2017. ii. The following members all approved the proposal 1. Marsha Squires (UAS Liaison/Member) 2. Eli Olson (Secretary) 3. Miranda McCarty (Member) 4. Chloie Watson (treasurer) iii. The only remaining members Sue Baxter and Barbara Burnett were not present at this meeting VII. Sister Cities Holiday card update a. Several cards were obtained and were approved to be used by the committee b. Marsha proposed to add a holiday greeting a picture to the cards c. Another proposal was put forth to add the CBJ logo to the cards, which will be obtained by Chloie and emailed out to the members. VIII. Sister City Committee newsletter update a. Miranda has created a newsletter for Sister cities activities in this and prior years b. It will be about a Year in Review i. This year we hosted the Rainforest Classic Hockey Tournament ii. We had the 4th of July parade with the RCMP’s marching iii. The exchange students 1. The potluck, UAS welcome, and the presentation to the City Assembly iv. The Fundraisers for Kalibo and Whitehorse activities v. Miranda will continue to update the newsletter as events and new information arrive IX. Sister City Status Chia Yi, Mishan City update a. Maria will attempt to find a working contact with Vladivostok. b. A motion has been put forth by the Co-Chair Maria Uchytil i. As Chia Yi, and Mishan City have not contacted us in 20 years, we the committee would like to have them removed as official sister cities, and thus we would like the City of Juneau remove them from the city website as Sister Cities ii. The following members all approved the proposal 1. Marsha Squires (UAS Liaison/Member) 2. Eli Olson (Secretary) 3. Miranda McCarty (Member) 4. Chloie Watson (treasurer) iii. The only remaining members Sue Baxter and Barbara Burnett were not present at this meeting iv. Another proposal was put forth to begin research of other possible sister cities that would fit well with Juneau. v. Suggestions for these places are: 1. Cities in Norway 2. Reykjavik, Iceland 3. Nishikoppe, Japan with which we already have a friendly relationship though a teacher exchange for elementary students. X. Adjourn a. The next meeting will take place on December 5th 2016 at 5pm at the Bartlett Conference room.
