Village Hall Village of Lombard 255 East Wilson Ave. Lombard, IL 60148 villageoflombard.org Minutes Community Relations Committee Trustee Robyn Pike - Chairperson Trustee Bill Ware - Alternate Chairperson, Pamela Bedard, Ahmed Ali, Michael Ledonne, Sharon Vish, Barb Ware, Gladys Piper, Anthony Pacilli and Jenelle Hardtke Staff Liaison - Avis Meade Monday, March 12, 2018 7:00 PM Trustees Conference Room 1.0 Call to Order and Pledge of Allegiance The meeting was called to order by Chairperson Robyn Pike at 7:07 p.m. The Pledge of Allegiance was led by Barb Ware. 2.0 Roll Call Present 5 - Robyn Pike, Pamela Bedard, Sharon Vish, Barbara Ware, and Anthony Pacilli Absent 4 - Jenelle Hardtke, Ahmed Ali, Gladys Piper, and Michael Ledonne Also Present: Avis Meade, Staff Liaison 3.0 Public Participation Trustee Reid Foltyniewicz visited the Community Relations Committee to thank members for their service and their efforts toward supporting the Village’s balanced budget 4.0 Approval of Minutes A motion was made by Pam Bedard, seconded by Sharon Vish, to approve the minutes of the February 12, 2018, committee meeting. The motion passed by unanimous vote. Village of Lombard Page 1 Community Relations Committee Minutes March 12, 2018 5.0 Old Business 180089 Village of Lombard Senior Fair Discussion of additional fee structure information for Senior Fair 2019. The Committee reviewed options for Senior Fair Vendor Fees, and recommended that for profit/private business vendors should be required to pay a $100 vendor fee, and non-for-profit organizations and community groups should not be charged a vendor fee. Sponsorship levels were discussed and staff will research options for a three tier sponsorship model to present at a future meeting. 180090 Pride Newsletter Printing Discussion of additional Pride Printing options, considering paper weight and cost of black and white printing. The Committee discussed cost saving measures in relation to the printing of the Pride Newsletter and recommends that the newsletter be reduced from 12 to 8 pages and also reduce the newsletter’s frequency to a tri-annual printing and mailing. Reducing the number of pages from 12 to 8, on a triannual basis, will result in an annual cost savings of $8,614. Staff will present potential triannual schedules to the committee for recommendation at a future meeting. 6.0 New Business None. 7.0 Other Business The Committee provided staff with recommendations/input for a new name for the weekly e-newsletter. The Committee agreed on the suggestion of renaming the weekly e-news to the “Friday E-Pride” in conjunction with staff’s rebranding efforts of the weekly e-newsletter. 8.0 Information Only The Committee received the 2017 Communication Report, outlining the Village’s communication efforts for the calendar year.
