Village of Niles General Government / IT Committee Meeting Summary October 11, 2017 The following Voting Persons were in attendance: Chair George D. Alpogianis, Village Manager Steve Vinezeano, IT Director Bill Shaw and Member Cammy Fortuna. Staff present were: Cathy Spadoni, Ross Klicker. I. Call to Order The meeting was called to order at 8:53 a.m. in Room 218 at the Niles Administration Building. II. Approve Meeting Summary – General Government/IT Committee – September 13, 2017 – Approved, on voice vote all concurred. III. Old Business a. Honorary Street Naming Policy Discussion of an Honorary Street Naming policy took place. A policy will need to be created on honorary street naming. As a part of the policy, a decision to be made is the length of time that an honorary street sign can remain in place, or can the placement of the sign be indefinite. Should the sign request be for an elected official should the honoree be living or deceased. Sign requests will be presented to the General Government/IT Committee for review. If the Committee approves the sign request, the request will move to the Village Board for final approval. Language needs to be placed in the policy that the Village Board retains the right to remove a sign at any time. IV. IT Project Updates The IT Department has been researching F.O.I.A. software to automate the F.O.I.A. process to make it more efficient. The software will create a WEB portal for people to submit requests. The software will be set up between the F.O.I.A. officer and Department Heads. The new software will include a redaction capability. The cost of the software will be $8,200.00 and is service-based so this purchase does not require Board approval. The General Government/IT Committee took a vote to purchase the F.O.I.A. software. On voice vote, all concurred. V. Open Discussion / Public Comment Additional sources of revenue for the Village were discussed. Further research and discussion on this topic will take place in the future. No members of the Public were present for Public Comment. VI. Next Meeting – Tentatively scheduled for Wednesday, November 8, 2017 at 8:45 a.m. VII. Adjournment With unanimous approval the meeting was adjourned at 9:21 a.m.
