Chuck Ostman Community Development Bob Pilat Public Services George Van Geem Village Manager Andrew Vitale MIS – Sr. GIS Coordinator The meeting was called to order by George Van Geem at 8:00 a.m. Agenda Item #1 – Approval of Minutes The minutes of the October 13, 2011 meeting were approved. Agenda Item #2 – Old Business – Project Updates Glenview Data Sharing A.Vitale reported that he received all of the information from Glenview regarding their sewer and storm system infrastructure, which includes North Maine and Oak Meadows Sanitary District. We are reviewing all those connections. He is changing the ownership of some of the pipes and is redrawing some of the sewer district boundaries. He will soon update that information in hard copy form and on Atlas, and will reissue the new district maps to the Finance Department, to the Stormwater Commission, and to anyone else who needs a copy. A.Vitale also noted that the district layers are up on Atlas, for internal use only. GPS Equipment Purchase A.Vitale met with Public Services last week for a small demonstration and evaluation of the final piece of GPS equipment that we’re looking into. They reached a consensus. He is adjusting a couple of the accessory items that have different functions and work flows, and will meet with Fred Braun today to discuss his preferences regarding the accessories. The final quote should come in between $19,100 and $19,800. As this is coming out of Public Services’ budget, Bob Pilat will handle the final purchase arrangements. Once ordered, it should take one to three weeks to receive. Maintenance Management System (MMS) S. Cusick reported that shortly after the last GIS Steering Committee meeting, MIS installed an update. However, there has not been much progress, as B.Shaw has been out of the office for a week. Come Monday (November 14), MMS becomes their # 1 priority. G. Van Geem asked for an estimated time to have it in place and to have training on it. S. Cusick answered that he hopes that we have training set up in a month. A. Vitale amended that estimate to sometime in January because of the holidays. They will ask B. Shaw for a more accurate target date. G. Van Geem commented that this project is important for a lot of reasons, that a lot of people are depending on it. He asked that he be informed via email if MIS runs into any further snags. Agenda Item #3 – New Business Sewer Infrastructure Updating (Stormwater Commission) A.Vitale reported that soon after he received information from Glenview, he received sewer infrastructure data from Morton Grove. He is now working on instituting that into our GIS. He has the final layers prepared for the Atlas PDFs, and is hoping to post those later this morning. Sometime today, he and S. Cusick will work on getting the rest of Morton Grove’s sewer information into Atlas and ArcView. It is significant that we now have water and sewer infrastructure information for all four suburbs that are adjacent to us. (He will work with his contacts to get information for Chicago.) We also have data sharing agreements in place with them, so that if things change, we can freely exchange information without any cumbersome paperwork. All the communities said that they have not undergone any GPS data gathering or field check location efforts; most of their data are directly scanned from paper atlases. They do not vouch for the accuracy of their locations. Therefore, they said that if we think we have GPS information about their infrastructure, we may change their data. As far as the attribute information, it is hit or miss. A.Vitale only wants to accept information as far as a location of the mains and manholes and size of the pipes. This information is for visual reference and display only, not for engineering or design purposes. Cook County Data Sharing A.Vitale reviewed that the latest assessment table from Cook County did not include taxpayer name, which forced us to omit it from the Property Details page on Atlas. Through conversations with his contacts, A.Vitale was able to get taxpayer name reinstated onto the next assessment tables that will be delivered to us, probably in January or February of 2012. We will then be able to use taxpayer name again; S. Cusick will just turn it back on in the system. Agenda Item #4 – Other Projects Stormwater Commission The Stormwater Commission has asked A. Vitale and Steve Vinezeano to collect and maintain a master database of the small projects that are not capital improvement-related. They have 2 already begun collecting information and will work with B. Shaw and S. Cusick as to how to design and maintain such a database, one that can be easily mapped, searched and shared. ***** G. Van Geem directed A.Vitale to put a discussion of what big budget items are coming up for 2012 on the next meeting’s agenda. Agenda Item #5 – Schedule Next Meeting (recommended date: December 8, 2011) The next meeting will be Thursday, December 8, 2011 at 8:00 a.m. in the 2nd floor conference room 218.
