Van Geem at 8:00 a.m. Agenda Item #1 – Approval of Minutes The minutes of the April 12, 2012 meeting were approved. Agenda Item #2 – Old Business – Project Updates MMS Update (Maintenance Management System) MMS Public Announcement - A.Vitale reported that MMS is up and running. We had a public announcement meeting on April 19. Attendance was lackluster, but Trustee Chris Hanusiak was very enthusiastic about the software and the direction we’re taking. MMS Review Meeting - Two weeks ago we had a review meeting with members of Public Services and representatives from Ruekert-Mielke to discuss software usage and improvements. Ruekert-Mielke has worked on many of the suggestions. A new version of the software will be installed soon. The changes include: auto-notification, the look-up list for the tree inventory, and the issue with detail reporting, as well as seeing the unit of measure when adding materials and map enhancements. B.Shaw reported that he is pleased with the positive response to MMS from Public Works employees. Fred Braun added that they are looking at ways that they can use it better rather than complaining about what they don’t like about it. We will have another review meeting two to three weeks after the new version is installed. B.Shaw continued that MIS is working with Chris Colletti on adding more of the inventory items that they need for the Water Plant operations. And, because there is so much interaction between the Water Plant personnel and the Finance Department / Water Billing, MIS has started a dialog with Linda Rae (Water Billing) to look at the first non-Public Works element of the system, which will allow her to create service requests / work orders in MMS. Board Presentation – A.Vitale reported that we are slated to give a presentation at the pre-Board meeting of either the May 22 meeting or the June 26 meeting. After confirming the date, we will schedule a planning meeting. Agenda Item #3 – New Business Police NATO Preparedness – A.Vitale reported that he has been working closely with the Police Department to prepare a series of NATO Preparedness maps as requested by the coordination office. The project has been completed, and the maps will be kept at our Police station and at the coordination office. Stormwater Commission MH Invert Measurements – As part of Phase I, Hey and Associates did a series of measurements on a variety of manholes. A.Vitale has inserted the data into GIS. ComEd Transformer Flooding – Community Development has gathered elevation readings of a couple of transformers around the Bruce/Knight area. A.Vitale helped with the mapping. This information will be brought back to the Stormwater Commission and ComEd. Overhead Sewer Research – The Stormwater Commission wanted to do a series of research projects on the existence of overhead sewers and their relation to the flooding of 2008 and 2011. A.Vitale is working closely with Chuck Ostman and Steve Vinezeano on this project. He will bring his findings to the next Stormwater Commission meeting. *A.Vitale reported that he is trying to get the water and sewer infrastructure from the City of Chicago, which will round out all of our surrounding communities for all of our water and sewer connections and interflows. Depending on what the particular Chicago community is willing to share, we could get information ranging from 200’ – 300’ deep to a couple of miles deep into Chicago. Infrastructure Updates A.Vitale reported that there was a series of infrastructure updates, both water and sewer, that he obtained from M. Nazzal. He has entered the as-builts for the following addresses: 50 Golf Mill Center (Gordon Foods) 6100 Howard 5727 Touhy (PNC Bank) 2 8575 Dempster (Citgo) Niles Public Services Garage 8200 Oakton (at Prospect) ***** * Tree Inventory – B. Pilat reported that the contractor is at least ¾ of the way done, and should be finished with the tree inventory by the end of the month; the close-out for the grant must be filed by the end of June. * Trustee Przybylo asked that we look into the transformer near Bruce and Western that was also underwater during the flooding. It was suggested that we put the locations of transformers on our maps. *A.Vitale reported that he will be working with Lynn Ball (Streets & Signs Manager) on signs - the next database he would like to bring up-to-date in VueWorks. *Public Works and MIS will investigate the best method to enter paper service requests / work orders into the system for historical and cross-referencing purposes. Agenda Item #4 – Schedule Next Meeting (recommended date: June 14, 2012) The next meeting will be Thursday, June 14, 2012 at 8:00 a.m. in the 2nd floor conference room 218.
