Andrew Vitale called the meeting to order at 9:04 a.m.
Agenda Item #1 – Approval of Minutes
The minutes of the July 11, 2013 meeting were approved.
Agenda Item #2 – Old Business – Project Updates
Orthophotography – Review of Bid Schedule
A.Vitale distributed a schedule for the orthophotography updates. The plan is to collect all the
specs (which will include optional items) by the beginning of November and bring them to this
committee’s November meeting. We will then go to the Board in December 2013 to ask permission
to go out to bid, and then award the bid at the January 2014 Board meeting.
Cook County Imagery - Includes Orthophotography and Property Images
A.Vitale stated that this agenda item should read “Includes Oblique Photography and Property
Images.” He apologized for the error.
The obliques are aerial photographs that are taken at a particular angle; they are not
orthographically rectified, they are not flat.
A.Vitale is trying to get the most recent oblique imagery and property images from the County.
Groot Trash Collection Mapping

A.Vitale reported that, at Steve Vinezeano’s request, the General Government intern is collecting
information on the level of service Groot provides as part of their base contract and extra services
for problem areas. This includes data on the number of containers and the schedule and frequency
of service – both for refuse and recycling. This information will be coordinated into a database for
mapping purposes, which will assist in the contract bidding process.
Scanner Training
A.Vitale has scheduled scanner training for Wednesday, October 2 at 10:00 a.m.
Agenda Item #3 – New Business
A.Vitale reported that there were a series of databases that were updated for Public Services.
Fire Hydrant Testing
A.Vitale stated that the fire hydrant flow testing is ongoing; he has received results for 588 of the
800 to 900 hydrants that will be tested. He is waiting for Phase 3 test results and is coordinating
with Public Services staff as to how these results should be reported in VueWorks and GIS .
Sign Database Modifications
A.Vitale reported that even though the Sign Department was putting in proper work orders, he was
not getting notifications of the signs that were being installed. He worked out a more effective
communication method which has resulted in an up-to-date sign database. Now everything that
should be in GIS is in GIS.
Tree Plantings – 2012 & 2013
A.Vitale reported that the tree planting lists were prepared for 2012 and 2013; however, he was not
given those lists to update into GIS. He again worked out a more effective communication method
so now the data in GIS is up-to-date.
Additional Comments
B.Shaw reported that Matrix is doing a staffing study for Public Services and has requested
information out of VueWorks. IT has generated some additional reports which can be made
available to staff. Also available is an analysis of labor that IT compiled outside of the VueWorks
system.
B.Shaw stated that Fred Braun will conduct training sessions for his staff to reinforce VueWorks’
internal procedures and methods to ensure consistency in data entry.
A.Vitale will set up a meeting with Fred Braun to investigate stepping up our plans to get new
assets in more quickly.
Fire Grid Updating
A.Vitale reported that IT and the Fire Department have extensively updated the fire grids. The Fire
Department now has a greater breadth of information as well as daily updates.

B.Shaw noted that Park Ridge and Des Plaines may join RED, which will impact the Village of
Niles in that we share our fire grid information with these communities. A.Vitale will discuss this
possibility with Rich Teper.
Sewer Televising (not on the agenda)
A.Vitale looked at the televising films. The naming and numbering schemes that are being used for
each manhole-to-manhole runs are different from what is in GIS. We can probably translate
between the two, and he would like to make these films available on VueWorks, Atlas and/or GIS.
Agenda Item #4 – Other Completed Tasks / Items
Data Sharing
Zoning Re-Write Project
A.Vitale has provided Camiros Ltd. with maps and data as requested.
Various Contractor Requests
A.Vitale has satisfied contractor requests as necessary.
Cook County Municipal Village Data Sharing
A.Vitale has been invited to participate in the Municipal Village Data Sharing Project, a pilot
program which will automate the retrieval of planimetric datasets from Cook County. This is
similar to what we currently do with them every year. Orthos are not part of this yet, but their plan
is to make them part of it. He hopes that this will be in place by the time we renew our data sharing
agreement with the county in January or February of 2014.
Annual Report Statistics
A.Vitale provided the Finance Department with the updated annual report statistics of our
infrastructure.

B.Shaw stated that IT is working on this year’s equipment disposal project. He asked M. Nazzal to
put together a list of non-functioning equipment in the Engineering Department that can be included
in the project.
B.Shaw asked A.Vitale to notify Susan Bus and Marlene Victorine of our timeframe regarding
orthophotography and the anticipated Board agenda items.
Agenda Item #5 – Schedule Next Meeting
The next meeting is scheduled for Thursday, November 14, 2013 at 8:00 a.m. in the 2nd floor
conference room 218.
The meeting was adjourned at 9:38 a.m.
