Director Andrew Vitale IT – Sr. GIS Coordinator Rich Wlodarski Community Development Bob Pilat Public Services Andrew Vitale called the meeting to order at 1:34 p.m. Agenda Item #1 – Approval of Minutes The minutes of the November 18, 2013 meeting were approved. Agenda Item #2 – Old Business – Project Updates Orthophotography – Publication of Bid Specs A. Vitale reported that the bid specification for the orthophotography should be published in the next few weeks. He has been working with the Purchasing Agent for some time to ensure they have all the needed documents for publication. The plan is to have bids received and opened in time for the February Board meeting, instead of the January meeting as originally planned. All potentially interested vendors were contacted and none expressed any concern about being able to complete the project in light of this scheduling change. ArcGIS Server A.Vitale, S. Cusick and B. Shaw have had preliminary conversations about the process and steps needed to replace the current mapping software in Atlas from ArcIMS to ArcGIS Server. Many supporting hardware and software would need to be upgraded or replaced before such a transition can be made. While no formal schedules were determined, the step-by-step process has been identified and outlined. A. Vitale will keep the Committee informed on our schedule and progress. Permit Mapping – Flood Control Permits GIS Steering Committee Meeting Minutes December 16, 2013 The Stormwater Committee tasked A. Vitale with mapping all Flood Control permits throughout the Village. In working with S. Cusick, a layer of all Flood Control permits in CityView has been created and will be distributed to the Stormwater and GIS Steering Committees. Once approved, A. Vitale will make the layer available on Atlas and all other various GIS services for internal employee-access only. A Vitale informed the Committee that using the same process employed in the mapping of Flood Control permits, we now have the capability of mapping all permits that appear in CityView. This is regardless of permit type or age. In essence, we can map any permit based on any metric or field found in the CityView database. Fire Grids Updating R. Teper has given the approval for the Fire Grid updates. Once A. Vitale is informed about who should be given access to these maps, he will share them to the appropriate Village staff via the M drive (similar to the Water and Sewer Atlases). Agenda Item #3 – New Business 2013 Tree Trimming / Planting Lists All Tree Trimming lists have been received by A. Vitale and he has completed updating the information in GIS and on VueWorks. He has also received the 2013 Tree Planting List, and he plans to have that information in GIS and VueWorks by the next meeting. Zoning Map Amendments Community Development submitted the zoning map changes for 2013, and these changes have been made to the data. Maps are being prepared and A. Vitale will have those to Bruce in Community Development by the end of the day. Agenda Item #4 – Other Completed Tasks / Items - Five requests for infrastructure information was received this month. - Various infrastructure map changes & improvements Other Discussion - Fire Hydrant Flow Test Reports. B. Pilat asked about the progress of breaking up the fire hydrant flow test reports for a single report for all hydrants to individual reports for each individual hydrant. A. Vitale reported that after some investigation, there is no automated process to break up a single PDF document into several component PDF’s. A. Vitale and B. Pilat agreed that the Contractor (ME Simpson) should be contacted and asked if this is something they can do as part of the original contract. - Annual Leak Survey. B. Pilat asked if the annual leak survey of the Water Distribution Infrastructure can be made part of the GIS. He stated that it would be helpful to have record of what has leaked (water mains, services or hydrants) from year-to-year. In addition, the mapping of these leaks can help in building a capital improvement plan and other activities. 2 GIS Steering Committee Meeting Minutes December 16, 2013 After some discussion, A. Vitale reported that it certainly can be added and requested further information from B. Pilat. A. Vitale will have an update on this project at the next meeting. Agenda Item #5 – Schedule Next Meeting A Vitale proposed a meeting schedule for 2014. Based on the availability of Trustee Alpogianis, it was agreed to meet on the second Monday of each month at 1:30 pm. Therefore, the next meeting will be January 13, 2014 at 1:30 pm.
