APPROVED MINUTES OF THE NORTHBROOK ARTS COMMISSION VILLAGE OF NORTHBROOK JUNE 7, 2012 The meeting was called to order by Chairman Julia Miller at 7:08 p.m. at the Northbrook Village Hall in the Terrace Room. Commissioners present: Jerry Block, Elsa Fischer, Christopher Laughlin, Sherry Natenberger, Eric Robbins, Bonnie Siegel and Liaison Kendal Maltas. Commissioners Excused: Maureen Fallows, Linda Goldman, Marilyn Jamora and Cathi Winnie. Commissioners Absent: Terry Luc Guests in attendance: Brian Bruce, Sherry Weiss, Erin Melloy and Sharon Moyer. MINUTES: Chairman Julia Miller asked for a motion to approve the minutes from the May 3, 2012 meeting. Commissioner Laughlin called for the motion and Commissioner Block seconded. All are in favor with no corrections. HERE FROM THE AUDIENCE: No Audience in attendance. ART IN THE PARK: Coordinator Erin Malloy of EM Events reported we have 71 artists paid to date and will be accepting artists until the day of the event. The food vendors space has not been defined yet due to the new pathways the Park District has installed in Village Green. The layout is not finalized yet but the layout will look nice without booths crammed together. This event will also be laid out to showcase the new park as well. A couple more sponsors have shown interest in the event and will think about sponsoring and report back to Erin Malloy on their decision. Some artists last year expressed the difficulty they had hearing and talking to people due to the proximity of their booth to the musicians. This year the Silent Auction Booth will be moved closer to the musicians which allows for artist booths to be moved further away from the music. Commissioners discussed also placing more signage around the park for guests to easily locate the Silent Auction Booth, Food Vendors, etc. The information booth will be staffed by commissioners and this will also be the check in booth. The reception on Friday night will also be staffed by commissioners. This gives the commissioners an opportunity to greet the artists and answer any questions they may have. Runners will be needed to help artists deliver their goods to their tents. Commissioner Robbins will be running the set up and driving the golf cart. Commissioners will have collared shirts and volunteers will have T-Shirts so everyone knows who they are. These shirts will be used again next year so save them. Advertising - The Tribune has already sold 8 ads. The Village of Northbrook Newsletter will have the information of their front page in an upcoming newsletter. All the local press will be given information for printing by Commissioner Block and the Village’s Communication Director. The logo was unveiled and Liasion Maltas will be getting more information from the artist Danilo Cuevas. All commissioners are asked to take posters and post cards for distribution. Please put posters in every store downtown and at Willow Festival if possible. This event is also on the paper grocery bags at Sunset Foods. A sub-committee meeting will be held on June 18, 2012 to discuss the final plans for the event. Volunteers – This year we will only need 3 or 4 booth sitters. We will fill our areas with the standard group of people and those awaiting our call. We have a commitment from Sunset and it will be the same as in past years. Sunset and Little Louie’s will have beverages so the commission will not have the pop and water this year. We will have water for the artists but no separate tent. A registration table will need to be set up by 2:30 p.m. in the tile room. Music – Commission Laughlin reported the bands are scheduled and the commission will have a drum screen to lower the sound level of music which will cost approximately $200.00 for the weekend. The final quote will be available closer to the event date. They will deliver, set up and take down for that amount of money. There will only be three tents in this area which one will be the silent auction tent which will be by the gazebo. Food Vendors – Vendors signed up for the event are Little Louie’s, Sunset, Hey Brother’s Ice Cream and Small’s Sweets & Treats. Fannie Mae candy wants to participate so Chairman Miller will discuss with them. YMCA – The children’s project will be staffed and run by a YMCA teacher. There will not be a community project this year. Jr. Artists - Applications are out and we already have 3 or 4 responses and we should have a total of 8 or 9 by the date of the event. We rented very colorful umbrellas instead of a tent but they need to bring their own tables. They will only be there on Saturday not Sunday. The event is five weeks away so get the word out. WORKSHOPS: Commissioner Siegel reported we made a $650.00 profit on the Artist Workshops. The Commissioners Thanked the Park District for their facilities and hospitality. YMCA – MUSIC COMMITTEE: Commissioner Laughlin reported the 3 acts booked are Out of Control for July 7th, Night Crawlers for July 14th, and People of Swing for July 21st. The food vendors will be Little Louie’s on July 14th and the other two dates have not been finalized yet. The Village Newsletter will have the event advertised in the July/August issue. This event will start at 6:30 p.m. rain or shine. ROCK THE GREEN - Commissioner Laughlin reported the finals are tomorrow from 6:00 pm until 9:30 pm at the Village Green. There are 8 bands in the finals. The youngest band are a group of 10 year olds. There are five judges which includes Matt Walker (the drummer from the Smashing Pumpkins and others). Bands will be performing in the Gazebo. The audience will be voting for their favorite band. REQUESTS – The Northbrook Library has requested funds for the Viewer’s Choice Award for the International Show in October at the Library. The request is for $225.00. This is the 10th year and this year’s theme is “Journeys”. The Library has 116 applications to date. MOTION – Commissioner Siegel made a motion to sponsor the Northbrook Library’s Viewers Choice Award for the amount of $225.00 and Commissioner Fischer seconded. All in favor with Commissioner Robbins abstaining. Motion passed. The commission received an inquiry from Susan Young on behalf of the Northbrook Community Choir providing a grant for an event they are planning in December at Techny on Sunday, December 2nd at 4:00 pm. which will be with the Northbrook Symphony, Northbrook Community Choir and other Church or Synagogues that wants to participate. The musicians, Techny and security are all paid. This is for information at this time. By the next meeting Chairman Miller will have updated the budget with the funds the Village has approved for the Commission. At this time we need look at all the events for the rest of the year as well as finalize the budget for Art in the Park. ANNOUNCEMENTS: The Youth Commission is having their Film Festival on June 11th at 7:00 p.m. at the Library. They have 7 films and the Arts Commission has granted a $100.00 towards the awards. This is the first year it will be judged. This event is in its third year and growing. A goal of the commission will be to have the films juried in the future. A film professor Jeff Spitz will be one of the judges with the others judges to be announced. The films are between two to twelve minutes. Art on the Plaza (at Plaza Del Lago in Wilmette) will be this weekend. Commissioner Goldman is not in attendance tonight but still wants to do an event in October so she will discuss this at the next meeting. ADJOURN Commissioner Laughlin made a motion to adjourn and Commissioner Robbins seconded.
