MINUTES OF THE NORTHBROOK ARTS COMMISSION VILLAGE OF NORTHBROOK November 7, 2013 The meeting was called to order by Chairman Julia Miller at 7:07 p.m. at the Northbrook Village Hall in the Terrace Room. Commissioners present: Jerry Block, Maureen Fallows, Marilyn Jamora, Christopher Laughlin, Sharon Moyer, Cherie Natenberg, Steve Gianni and Liaison Emma Trausch. Commissioners Excused: Elsa Fischer and Cathi Winnie. Commissioners Absent: None Guests in attendance: Marlene White, Ceramic and Tas Ganitopoulos, Artist. MINUTES: Chairman Julia Miller asked for a motion to approve the minutes of the October 3, 2013 meeting. Commissioner Block motioned to approve the minutes and Commissioner Natenberg seconded the motion. All are favor of the corrected minutes. HERE FROM THE AUDIENCE: None REVIEW OF 2014 ART IN THE PARK PLANNEW COMMITTEE RECOMMENDATIONS: The first planning meeting was held on October 30, 2013. The agenda was to discuss areas of the event and what direction the commission wants to take with the 2014 event. A preliminary budget was discussed and the commissioners in attendance were Jerry Block, Sherry Marilyn Jamora, Sherry Weiss, Sharon Moyer, Elsa Fischer, Cheryl Fayne-DePersio from the Village of Northbrook and Chairman Miller. The following are the recommendations to the commission from the committee. The committee's looking for approval from the commission, so the committee can move forward with the planning: 1. Advertising $5,000 2. Music $4,000 3. Food Vendor-Little Louie's $? 4. Artists Hospitality $ 500.00 5. Silent Auction No Auction 6. Children's Activity Yes-Our last event was very successful. All other proposes will come back to the commission for a vote when they are finalized. Chairman Miller is asking the commission if they agree with these recommendations or not. Committees will be chosen to handle the functions as they are finalized. MOTION: Chairman Miller called a motion to approve the six recommendations above as the preliminary budget for the Art in the Park 2014 event and all commissioners agreed and the motion was passed. Numbers should be approved at the December meeting for the budget. WORKSHOPS Commissioner Jamora reported the Watercolor workshop for Bridget Austin for April 26° and April 27th has been confirmed and we are anticipating 16 to 18 people. We are anticipating about 6 to 8 people for the Oil painting workshop for Tom Nachreiner on March 29th and 30th. The expenses will be about $2,600.00 for the two Artists and the income based on the new pricing structure for Friends of the Arts tentatively should be $3,160.00 which leaves a profit of $560.00 with no advertising which we did last year. The cost of mileage may raise the, price a little bit more. Pricing structure this year will be $150.00 per workshop for Non-Residents and $120.00 for Residents (this includes a 20% resident discount). If you do a two day workshop, the cost will be $130.00 for Non-Residents and $100.00 for Residents. Chairman Miller asked the commissioners if they agreed on the new pricing structure. This should allow for a profit or at the least to break even. The committee is working on the flyers for advertising for local people and the artists will also advertise on their websites. Facebook advertising was also discussed. The commission will also send the information to the Glenview Art League for advertising as well. Email blasts will go out to Northbrook Artists as soon as the artwork is ready to finalize the application. MOTION: Commissioner Fallows motioned to approve the pricing structure as explained above and Commissioner Laughlin seconded the motion. All in favor, motioned passed. UPDATE OF STATUS OF RI DESIGN OF ARTS COMMISSION WEB-SITE Chairman Miller discussed the need for a new website and Chairman Miller has received the questionnaire from the Park District and has sat down with Commissioner Gianni and Eric Robbins who are currently maintaining our website. The questionnaire has been filled out and sent back to the Park District. The commission also has help from Liaison Trausch who has an IT background and will work with the commission to bring the website up to date and make it easily assessable. A new program will be needed as Dream Weaver is too hard. The Park District will recommend to the commission as to what we need and recommend someone to help as the Park District will not do the website. OLD BUSINESS- Commissioner Laughlin reported Rock the Green proposal needs to be discussed at the December meeting. NEW BUSINESS: Chairman Miller advised the commission of a tax filing for Friends of the Arts. ANNOUNCEMENTS: Dennis Downes will be at Gander Mountain in Kenosha and his website is: http://newssun.suntimes.con/photos/galleries/index.htm?=23554290. Chairman Miller will be sending the new artwork for the commission to Commissioner Gianni for future advertising. ADJOURN: Commissioner Natenberg made a motion to adjourn and Commissioner Laughlin seconded.
