Minutes of a Meeting of the
Community Relations Commission
April 3, 2014
Member Weil said that volunteers were needed and passed out a sign-up sheet asking
members to sign-up if they were available. The times were in one hour and 45 minute
increments. Volunteers will be given badges.

Some of the volunteer tasks include:
Set-up and decorating in the morning.
Clean up after the event between 4:00-5:00 pm.
Front door greeters and hospitality.
Handing out program, maps, fortune cookies and raffle tickets.
Serve as event staff at the gym entrances, conference room, children’s room, martial
arts room, kindergarten room for Chinese art painting to greet attendees and explain the
activities.

Member Huang explained that the budget was $1,000 more than last year. The reason that the
expenses at the YMCA are higher is because this year the YMCA asked for reimbursement and
the program is expanded from last year. The proposed budget for the event is $3,000 which
includes the following:
Stage, tables and chairs $1,000
Programs $1,400
YMCA expense $300
Banners (3 @ $100 each) $300
Total $3,000

The commission discussed asking Member Huang to see if there was any way to trim some of
the budget, such as ordering fewer flowers, maybe one less banner, etc. Others expressed the
sentiment that Member Huang has done an excellent job and gotten the budget to the most
reasonable and lowest she could.

Chair Wehr explained that the Village fiscal year ends April 30th and the budget for the year was
$5,000 of which the YTD expenditures are at $3,500. The $1,500 left in the budget cannot be
carried into the next fiscal year, however they could apply it to the Taste of Asia which occurs in
the next fiscal year as long as items were invoiced and dated before April 30th within the current
fiscal year.

Motion: (Dale Duda – Linda Goldsher) – Approve a $3,000 budget for the 2014 Taste of Asia.

Amendment to the Motion: (Rochelle Singer - Bruce Dougherty) Make sure that the next
year’s budget does not exceed $3,000 and that all of the events for this year’s Asian Heritage
program be looked at to make sure there aren’t still some ways to trim the budget.

Discussion on the Amendment: In addition to looking at ways to cut back, should we be
looking at other sources of funding?

Chair Wehr called for a voice vote on the Amendment. Since it was not unanimous, a roll call
vote by the commissioners was called.

that is similar in size to Northbrook. Members Doughty and Hamed are also planning to meet
with someone from Iowa that also has a Sister City program. They will be asking what do people
want, what has worked, etc. and then they will bring a proposal to the Board. Member Doughty
also stated that they would like to add 2-3 people to the subcommittee and asked if anyone on
the commission is interested to let them know. They would also welcome others from the
community who are interested in volunteering. It was suggested they reach out to the

opening April 30th.

The biggest issue the Board is dealing with is the enrollment at GBS and GBN. They are having
some demographers looking at the two schools. Glenbrook South will have about 3,000 student
enrollment and Glenbrook North will be about 2,000. They will be looking at the student to
teacher ratios and making sure all students have appropriate opportunities.
