28 1. Review & discussion of program format and content:
29 Overview: Rochelle and Crystal
30 12:30 -1:15 - Meet and Greet; food; ABC Room. Piped in music
31 1:15: Gym - Rochelle - Welcome; Intros.; speakers
32 Two youths will thank the team for coming and lead the audience in the
33 pledge.
34 A youth will sing the national anthem (Has sung at the Horizon center).
35 1:40: Moderator - Crystal - Multimedia presentation (6 - 7 min) of Jackie
36 Robinson and the history of Black baseball players
37 Q & A with JRW team, coach, parents
38 2:30: end of program
39 Program handout & survey - Ron

41 2. Process for soliciting and submitting questions for the team:
42 Committee will solicit questions from: Little Leagues; schools; adults, etc.
43 Will be sent to the coach to select questions.
44 Have note cards on table; audience can write questions for team.
45 Coach will choose questions to use.

46 Crystal, and two other committee members will read the questions for the
47 team to answer.

49 3. Review & discussion of flyer and banner:
50 Flyer: Howard has arranged for Nancy Gerstein of Creative Marketing
51 Association to review our flyer and “polish” the design. Flyers will then be
52 distributed per the publicity plan.
53 Banners: There will be 3 banners to be placed at the Village Green, Cherry
54 and Western, and near Sunset foods. Howard and Ron will complete the
55 design and work with Michael Strong to place the banners. The CRC will pay
56 for 2 of the banners and the YMCA will pay for one.

58 4. Review plan for publicity:
59 Flyers: Will be emailed to appropriate entities and will be placed at
60 appropriate entities. Cheryl Fayne will take care of press releases using the
61 copy approved by Rochelle and Ron.

63 5. Review plan for facility and required items:
64 The food will be served in the ABC room.
65 The Q & A session will take place in the main gym
66 The Y will set up chairs and added chairs will be brought in on loan from St.
67 Norbert’s Parish.
68 Howard has arranged for Amplivox to set up the viewing screens, sound
69 system, microphones and video equipment for the film, music, etc.
70 Hospitality Room: A separate room will be set up for the JRW team to use
71 when they arrive. The Y will provide a pizza lunch for the team and
72 volunteers from the New Family Life of Waukegan will provide treats for the
73 team.
74 Michael Strong is talking to the Northbrook Chamber about the Chamber
75 possibly providing gifts for the team.

77 6. Review & discuss plan for food:
78 Sunset Foods will provide hot dogs, condiments, chips and water at a
79 discounted price.
80 Volunteers will wrap and serve the hot dogs - 12:30 - 1:15
81 Cookies and napkins will be purchased from Costco (Chris)
82 Each attendee will be given a ticket for food as they enter the ABC room;
83 Ron will provide the tickets.

85 7. Security:
86 Michael Strong will coordinate security to help with parking/an officer will be
87 present at the Y during the program.

89 8. Next meeting date: February 10, 2015, 6:30, at the NSYMCA
