Golf Committee Meeting

Public Agenda
Citizen stated that there is a problem with the clover at Clapp. He feels that maintenance at Clapp is
only 10% of what it is at the other courses.
Citizen stated that if Clapp closes there will only be one course on the east side of town.
Regular Agenda Items
Approve minutes from 6/12/18
West made a motion to approve the previous minutes.
Schodorf second.
Introduce Eddie Fahnestock
Hillman stated that he wanted to introduce Eddie Fahnestock as the new president, appointed by the
Park Board, of the GAC. He was unable to make it to the meeting today. Fahnestock will take over
at the next meeting so that Hillman will be able to participate on another committee.
June Rounds Report
Hendricks stated that rounds are down 8% and revenue is down 7%. Net income looks 212%, we
haven’t been paying any internal service expenses at this time.
Schodorf stated that the admin costs look high.
Hendricks stated that they are. The admin fees include internal expenses to HR, Police, Fire, IT,
etc. These fees are divided by and paid by all the departments that generate revenue.
Schodorf stated that when he asked if we are being charged competitively by public works, he was
told that we are not.
Hendricks stated that there is not anything we can do to change that.
Schodorf stated that he would like to see the committee come up with a list of attainable goals for
the golf system that we can present to the Park Board. He challenged the committee to make things
change.
First Tee Update
Burch stated that what is happening here at MacDonald is fabulous.
West stated that he is torn over the situation at LW Clapp. As a business man he understands the
need to close it, but as president of the First Tee it doesn’t grow the game. He stated that there has
been a lot of progress with the driving range, irrigation is a week from being done and they will start
sprigging.
Reese stated that sand has been delivered for the practice tee.
West stated that in terms of fundraising we have a lead donor that provided half million dollars. The
parking lot may get started in 30 days. We are talking to a lot of large corporations that are
interested in donating.
MacDonald Improvements
Tour of the course.
Hendricks stated that we are going to start converting the fairways at MacDonald to zoysia. He and
Reese determined that it would cost around $1 million to sod the course. They determined that
there are two other options. One, stripping it in can take 2-3 years and cost around $40k. The
second option, that we are considering, is to create a nursery at Auburn Hills and start stripping it in
within a year.
Schodorf stated that there is other city owned property that could work as a nursery and possibly
make it an operable business opportunity.
Hendricks stated that by having the nursery at Auburn Hills, it will be used to sod the other courses
as well, once MacDonald is completed.
Monthly Season Pass – back office update
Appelhanz stated that all season passes will be sold online, through the webstore.
Hendricks stated that the law department is concerned with customers providing financial
information to staff, so it avoid this, it would be more secure for customers to process online.
Appelhanz stated that the first month will be prorated and charged to a credit card. After that, it will
be automatically drafted for the remainder of the year.
Schodorf asked what happens with insufficient fees.
Appelhanz stated that fees would be charged to the golfer’s account, or she will freeze the account if
there is a problem.
Schodorf asked if we were doing away with copays and that there would be no time restrictions.
Appelhanz responded that is correct.
West asked how soon we would roll this out.
Hendricks stated that we do not have a date yet.
Appelhanz stated that after the first year the pass goes to a month to month agreement.
Schodorf stated that he wanted to be certain that we are comfortable with the numbers that we have
down.
Hendricks stated that the numbers are not set in stone at this time.
Citizen asked if this means he can no longer buy a pass with his credit card. He stated that he
would not feel comfortable putting his bank account information online.
Hendricks stated that is correct.
Schodorf asked that Hendricks run the numbers one more time before we finalize the document.
