City of Columbia, Missouri Meeting Minutes Commission on Cultural Affairs Monday, May 9, 2016 Community Room Regular Walton Building 4:15 PM 300 S Providence Rd Columbia Missouri I. CALL TO ORDER Chair, Kevin Shults, called the meeting to order at 4:16 p.m. Staff Present: JJ Musgrove, Sarah Dresser, and Joyce Gelina Present: 10 - Tammy Brewer, Nathan Fuchs, Judith Harper, Nick Kenny, Aaron Krawitz, Caroline Leemis, Melody Marcks, Carol Schmitz, Kevin Shults and Michael Sleadd Excused: 1- William Williams Unexcused: 1- William Bondeson II. INTRODUCTIONS Audience members were welcomed by Shults. They introduced themselves and were asked to sign the roster. Guests Present: Cary Taylor, Russell Boulevard Elementary Art Specialist; Ava Newland, student of Russell Boulevard Elementary who created the artwork that is being featured in the 2016 Family Fun Fest promotional materials, and her mother, Andrea Ransdell III. APPROVAL OF AGENDA A motion to approve the agenda made by Leemis; seconded by Krawitz; motion carried. IV. APPROVAL OF MINUTES Minutes for the April Commission meeting were approved with a motion by Harper, seconded by Leemis; motion carried. Draft Minutes V. SPECIAL ITEMS Teacher & Student recognition: Family Fun Fest 2016 Poster City of Columbia, Missouri Page 1 Printed on 6/21/2016 Commission on Cultural Affairs Meeting Minutes May 9, 2016 Shults welcomed special guest CPS student Ava Newland, who created the artwork that is being used to promote the City’s 2016 Family Fun Fest. Dresser informed the Commissioners and guests that Ava’s work was selected in May 2015 from the downtown displays that were part of Partners in Education Week. Her artwork, a drawing, was created while attending Russell Boulevard Elementary under the direction of art specialist Cary Taylor. Dresser congratulated Ava, and presented her and Cary with a framed copy of the promotional poster. Russell Boulevard Elementary School was also awarded a $500 honorarium last August to support the teaching efforts of their art department. Dresser thanked the student for the use of her artwork. Appreciation for the recognition was expressed by Cary and Ava. VI. REPORTS Commission Reports Secretary's Report The following correspondence was read aloud by Harper and then circulated for signatures: a letter to Teresa Maledy thanking her for Commerce Bank’s generous support as Poster Sponsor for the 2016 Poster Party; and a letter of appreciation to Amy Schneider, Director of the Convention and Visitors Bureau, for ongoing financial support of the Traffic Box Art project. Staff Reports Columbia Arts Fund Update Musgrove reported the current balance is $135,528. Stephen's Lake Park Amphitheatre The Missouri Symphony Orchestra will kick off their Hot Summer Nights program again this year with a free concert on June 9, 7 p.m., at Stephens Lake Park Amphitheatre. Dresser reported technical assistance will be funded by the OCA. Commissioners were encouraged to attend. This project is done in collaboration with the City’s Park and Recreation Department. Poster Party Update Ideas for possible rebranding of this event were given by Musgrove. The annual party has evolved into a fundraiser for the Columbia Arts Fund, and has changed from being hosted at someone’s home to being hosted at a larger venue by a community leader. Feedback was taken at the recent Poster Party Committee meeting for different ways to market the event. One of the suggestions is to market it as a “Celebration of the Arts” where an individual as well as an arts organization is recognized for their accomplishments. The party would follow the same format, and the poster would continue to be highlighted and unveiled; but an additional component would be the presentation of two awards. Commissioners liked this idea and voiced the following thoughts: art agencies could host the party at their venue; the winner could receive a framed poster; names of those nominated but not winning should not be made known; and the award should have a clever name. One concern was that the larger art organizations might have an advantage; however, others did not think that would be the case. Dresser added that this is the 25th year for the commemorative poster and said something special could be done such as a program book featuring past posters and information about the arts agencies. Status of FY16 Arts Funding The following have final reports due for FY16 annual funding: Choral Arts Association of Missouri (formerly the Columbia Chorale) and Odyssey Chamber Music Series. In addition, “We Always Swing” Jazz Series and Choral Arts Association of Missouri have reports due for small request projects. None are past due. VII. GENERAL COMMENTS BY PUBLIC, MEMBERS AND STAFF OCA Calendar Highlights of the May/June calendars were given by Shults. What have you seen in Columbia? Upcoming artistic events and those experienced by Commissioners and staff since the last meeting were shared. Other A funding workshop for Commissioners will take place after the meeting. Examples of past funding comments were requested to be sent to those evaluating the applications for the first time. VIII.
