The Hunt Building Minutes January 5, 2010 4pm Meeting started at 4:05pm In attendance: Charlie Matthews, Joy Barrett, Frank Mellen, Nick Efstathiou, Marilyn Solomon, Carolyn Mortellaro, Rosalie McQuaid, Alderman Dick LaRose and Judy Carlson (Friends of the Hunt) Correspondence: Letter addressed to Charlie from Elaine Griffiths to resign from the Board of Trustees of The Hunt Building. The letter was also sent to Mayor Lozeau. Motion to accept Elaine’s resignation by Charlie, seconded by Frank. Joy will look into plaque for Elaine from Hudson Trophy. Will cost roughly $75 to $85. Phone call from Cathy Monahan she is doing a 30 mile walk for MS and wants to have a fundraising gathering and was interested in the Hunt Building but does not have the funds to do it. Marilyn has offered to pay the $100 to rent the building. Carolyn will contact Cathy and find out what she has planned. Secretary’s Report: Motion to accept November 09 Minutes by Marilyn, second by Nick. All in favor. Motion carries. Motion to accept December 09 Minutes by Frank, second by Nick. All in favor. Motion carries. Treasurers Report: Motion to accept November Financials by Joy, second by Nick. All in favor. Motion carries. Through December 2009 Friends of the Hunt $810.00 6006 Hunt Bldg. Charitable $379.00 Hunt Building Rental Income $3,100.00 Hunt Building Budget $21,799.67 - left $13,611.33 – used (38%) Hunt Memorial Fund $26,220.60 Motion to accept December Financials by Nick, second by Frank. All in favor. Motion carries. Administrator’s Report: We are the proud recipients of the Ella Anderson Trust Grant for $5,000. This will be used for family entertainment and art entertainment. Marilyn will write up a press announcement for the grant and submit to the Telegraph. Rosalie, Nick and Joy will work on a schedule of entertainment programming. We will start to look for shows/speakers people have enjoyed and were well attended here at the Hunt. Page 1 of 3 Maintenance Report: Back door lock was repaired. Our keys all still work fine. Heater in the office is now working. Status of Renovations: No new news on renovations. Charlie has not yet drafted the letter to the Mayor about a meeting for uses for the building. He will write a letter before next meeting. Events: Carolyn has a full list of rental dates and distributed to the trustees. Fundraising: Nothing this month. Friends of the Hunt: Held yesterday, Monday, January 4, 2010 at 6:30pm Good meeting but low attendance only 3 people showed up. Discussion of the name for a friends group took place. They decided to stay with Friends of the Hunt Memorial Building. Friends of the H (Hunt)M (Memorial)B (Building). Also went over the step needed to organize the Friends group. (Please refer to handouts supplied by Judy.) Mission Statement was also created. Bylaws are completed. Articles of Agreement (editing and updates still needed) Judy will email Joy the documents so Joy can include in minutes. Working Name: Friends of the Hunt Memorial Building Mission Statement: The Friends of the Hunt Memorial Building is a non-profit charitable community group organized and operated under the terms of IRS 501(c))(3) to: aid the City of Nashua in raising public support , monetary, material, and services donations and grants to help lessen the burden of the City government relative to the restoration and operation of the Historic Hunt Memorial Building, listed on the National Register of Historic Sites; foster awareness and facilitate use of the Historic Hunt Memorial Building in ways that are beneficial to the public interest and for the betterment of the Nashua community, including but not limited to literary readings, musical concerts, oral history presentations, meetings and receptions, and office space for Nashua’s non-profit organizations; and encourage the donation of time and assistance by Nashuans to the Historic Hunt Memorial Building activities and events. The IRS application currently costs $800 if the organization will received $10,000 in donations. This year the IRS will be automating the system and reducing the cost to $200. We will be waiting for this to have minimum expenses to apply for the 501c3. We need to find another friend to join the executive committee. Friends will meet 10 times a year. This will take place the 1st Monday of the month at 6:30pm. Old Business: Banner on the building…..the Historic District Commission wants the Banner down and wants to know when we will take it down. We will comply and remove. New Business: The letter from Steve Bennett. Charlie read a letter from Steve. The Board of Alderman needs to review and approve our rental agreement. We need to go over the agreement and present to the Board of Alderman for approval. Alderman LaRose will guide us through the necessary steps to move this properly to the Board of Alderman.
