Board of Trustees meeting minutes
May 19, 2015
Regular meeting, held in Hunt Memorial Building, called to order at 4:59 p.m.
In attendance: Cail Bellavance, Brenda Baron, Charlie Matthews, Tammy Crisp, Carolyn
Mortellaro, Alderman Mary-Ann Melizzi-Golja, Stacy Baxter.
Absent: Marilyn Solomon, Jen McCormack, Rosalie McQuaid.
*Upon motion by Charlie Matthews, seconded by Brenda Baron, the board unanimously accepts April
21, 2015 minutes.
Treasurer Report for April tabled until June 16th meeting.
Administrator’s Report: Motion to accept by Charlie Matthews, seconded by Brenda Baron, the board
unanimously accepted.
The Board discussed:
* ACT did not renew lease, vacated space to be considered for storage for building.
*Carolyn to write article to promote bridal package for publication.
*Landscaping project on hold until Parks and Recreation have completed replanting of grounds.
* Kitchen floor in need of replacing: flooring samples to be presented at later date.
Upon motion by Tammy Crisp, seconded by Charlie Matthews, the board unanimously voted to accept
the Administrator’s Report.

Call Bellavance moved to adjourn the meeting at 6:34 p.m.

Building Administrator Report

Correspondence:
French Cultural Festival has been confirmed for Sunday, June 28, 2015. The proposed
breakfast is no longer taking place and the Hunt reservation was cancelled.
Fielded several inquiries for future private rentals and gave several tours.
An updated kitchen appliances quote was received from Kittredge.
ACT has notified us they do not wish to renew their office lease. Keys will be returned by the
end of this month.
Sent an email request to the Greater Nashua Chamber of Commerce asking if they could
announce our Bridal Package in their next news blast. Keep your eyes open for it!
Letter received re: 2nd partial distribution from Lydia Reed Estate. There is a delay but the
courts approved the payment. Check should arrive early June.
Kapesco Painting, LLC has given availability of 2 weeks out for scheduling refinishing of
woodwork in Main Reading room. Work will take a week and I will coordinate with private
rental schedule.
Maintenance:
The HVAC has been switched over from heating mode and with a small repair (invoice not yet
received), we were up and running with cool air.
Southern New Hampshire Pest Control will initiate the first quarterly treatment on 5/19/15.
Removal of dead shrubs and replacement was discussed with the Parks & Rec. Dept. The front
grounds will be cleaned up by Memorial Day.
Quotes for kitchen flooring replacement have been generated. I will meet with Nashua
Wallpaper on 5/21/15 to review material choices and timeline for scope of work.
Housekeeping items:
Lawn sign changed to promote private rental reservations.
An updated Private Rental agreement to include the Bridal Package was placed on our
website.
A Bridal Package “button” was added to our website that links the mini flyer created.
Purchase order generated for the new kitchen appliances. Kittredge will hold for us in
warehouse until the flooring has been replaced.
Action items:
• Renaissance has been asked if they plan to renew their office lease. I’m told they updated
their agreement last time to work on a month by month with 30 day notice. I do not see that
documentation anywhere. Please advise.
