Amesbury Public Library Board of Trustees Meeting Minutes v2 – February 15, 2022 Amesbury Public Library Board of Trustees Location: Virtual (Zoom) meeting Special meeting with Friends of APL Board and Long Range Planning Consultant to do SOAR exercise Tuesday February, 15, 2022 - 5PM - 7PM Board of Trustees (BOT) members present: Gail Browne, Delia Rinaldi, Jessica Ducrow, Bethany Sullivan, Anne Campbell, Laurie Cameron, Audrey Proctor, Pam Gilday Board of the Friends of Amesbury Public Library present: Caitlin Thayer, Katie Fawkes, Shannon Carroll Long range planning (LRP) consultant and meeting facilitator: Barbara Alevras I. Call to order at 5 PM with introduction of LRP consultant and meeting facilitator Barbara Alevras of Sage Consulting Services by APL Director Aimie Westphal. Barbara provides an overview of the objectives and the process we will work through in this 2-hour workshop. What is SOAR? A SOAR exercise is used to analyze current and future conditions that affect the Library and its ability to provide desirable and/or necessary services. Participants identify the Library’s key Strengths, Opportunities, Aspirations, and Results. II. Breakout sessions and brainstorming of the 4 SOAR categories - Strengths, Opportunities, Aspirations, and Results. Each of the 4 sets of sequential breakout room sessions consisted of 3 – 4 attendees. Each small Zoom breakout room assigned a scribe and then listed their ideas for elements for the specified category. After the allotted breakout session time completed, the small groups rejoined the full group to share their items with the facilitator/recorder and the group as a whole. We repeated this process for each of the first 3 categories while saving the Results category for the follow-up survey after the results of this workshop have been organized into a survey and distributed to the group for prioritization within each of the categories. The sample SOAR brainstorming guide and exercise sheet that were provided pre-meeting are attached. III. Adjourn: 7:00 PM.
