By City Clerk at 11:26 am, Oct 23, 2023 Amesbury Library Board of Trustees Communications Committee Meeting Date/Time/Location: Tuesday, May 10, 2023/ 6:30 p.m. / Amesbury Senior Center Attendees: Anne Campbell, Jessica Ducrow, Audrey Proctor 1. Meeting called to order at 6:31 p.m. by Anne. 2. Mission – Discussed the mission of the communications committee including educating and informing the public and providing communications guidance for Trustees. Proposed mission statement: “The mission of the Communications Committee of the Amesbury Public Library Board of Trustees is to promote, educate, and inform the public about the current state of the Library and opportunities to support the Library and its future. In addition, the Communications Committee will support existing and prospective Trustees by orienting them and providing guidance on communications, as well as providing communications support and messaging for the Library as needed. The frequency of meetings is usually quarterly, depending on communications-related issues that may arise.” Jessica made a motion to accept the mission as proposed. Audrey seconded. Passed unanimously. 3. Goals – Discussed goals for the committee including: • Providing communications guidance for Trustees • Incorporating communications guidance into the onboarding packet for new Trustees • Developing consistent and unified messaging, particularly on key issues such as the basement, accessibility, the future of the building • Creating a Trustee job description and an elevator pitch about the role of the Trustees to help with recruiting new Trustees when needed • Updating the Trustees page on the city website 3. Other – Discussed timing of meetings. Plan to meet in February, May, August, and November each year, with more meetings as need. Next meeting will be in August, date to be determined. Ahead of the meeting, Jessica will work on the job description and elevator pitch. Audrey will compile a list of common questions Trustees are asked. Anne will evaluate the Trustees page on the city website and brainstorm how we can update it to make it more informative. These will all be brought to the next meeting for further discussion. 4.
