Meeting Minutes Old Works Golf Course Authority Board Old Works Golf Course Clubhouse September 11, 2023, 5:30 p.m. Call-in Number: 720-843-2522, Access Code: 228 0203# I. Call to Order Board President Daryl Dodd called the meeting to order at 5:37 pm. II. Roll Call Present: Mike Beausoleil, Con Malee, Daryl Dodd, Allen Green, Todd Lupkes, Andrew Elaimy, Gary Carlson, Kristy McKay, Carl Nyman Present via conference call: Sean Silva Absent: Mike Houtte ARCO Ex Officio Member: None Members of the Press: None. Members of the Public: None. III. Approval of August 7 Board Minutes Gary Carlson, made a motion to approve the minutes, with changes, from the August 7 meeting and Mike Beausoleil made the second. Public comment: None The motion carried 6-0 IV. Financials July Financials August Update Operations Subsidy/Capital Improvements Funds The board reviewed the financials as presented. Kristy McKay made the motion to accept the financials as presented and Mike Beausoleil made the second. Public comment: None The motion carried 6-0 The July financials showed revenue of $528,342 with variance of $ 22,186 against a budget of $506,156. Year to Date Actuals were $1,301,862 against budget of $1,119,957, a variance of $181,904.Total rounds exceeded budget by 915 rounds while golf shop revenue exceeded $98,000 and Food and Beverage revenue was $ 111,262 for the month of July, year to date F&B revenue was $ 366,567. Operations subsidy Funds: $ 1,000,237.88 Capital Improvements Fund $ 163,212.34 V. Clubhouse Update Fortune Construction has repaired the raingutters and final connection to the drainage system remains to be completed. Paint and a paint contractor have been secured and painting will take place this fall for the pickleball courts. Pickleball courts still require fencing and nets. Tubing is required around the base of the firepits and a sound system remains to be installed. Public comment: None. VI. Course Conditions Update The golf course is in excellent condition and continues record rounds of golf well into September. The bridge repair will take place after the end of the golf season. Asphalt overlay has taken place on the back nine and asphalt seal coating will begin next week. Weed spraying will begin next week. Irrigation system winterization will begin on October 15 or 23, depending on weather. VII. Operations Update Merchandise Sales Merchandise sales are going very well.. Golf shop has a full inventory of equipment and clothing. Sales are reported over $98,000 for the month of July Year to date merchandise revenue of $237,214 has exceeded last year to date revenue of $58,722. The card program has nearly doubled over last year, demonstrating increased play by neighboring communtites. Tournaments and Events All tournaments have been conducted for the year, and next years tournaments are already booking with Old Works. All tourney play exceeded rounds and revenue, for these special events. Off season events will be scheduled for Octoberfest and the holiday season. Marketing Marketing will continue to include online, Facebook and Instragram and print media. The Trackmaster golf simulators will begin fall league in October. Public comment: None. LIII. Winter Activities ADLC CEO has asked the golf course authority board to determine the feasibility of opening the golf course to cross county skiing. Staff and board members will discuss the opportunities with other golf course operators that currently allow that activity and report back to the board for further discussion.
