Advisory Commission Meeting Minutes
Monday, November 17, 2014
Andover YMCA Community Center, Room B
In Attendance: Frank Kellogg, Allison Boes, Missey Hayko (left at 7:05 pm), Tony Howard, Ted Butler,
Erick Sutherland (arrived at 6:37 pm) and Mark Chevalier (arrived at 6:37 pm).
Absent: Mike Knight

Advisory Commission By-Laws
Frank had discussion with Jim Dickinson prior to the meeting regarding the by-laws and to discuss
AHYHA having alternate members attend the commission meetings if current representative (Mark) was
not able to attend. Jim was hesitant in allowing AHYHA to send alternate representatives to meetings,
in regards to fairness when the time comes to vote on a particular subject, that individual would not be a
voting member. The by-laws read that the commission has one (1) representative from the Andover
Youth Hockey Association on the Andover YMCA Community Center Commission.
Mark Chevalier indicated that he feels that he may not be the best candidate to represent the whole
community, but rather that his focus is AHYHA. The commission reassured Mark that he is here to
represent AHYHA. Ted suggested that perhaps the by-laws could be modified to read that the AHYHA
as an organization be a voting member, rather than just one individual. The commission felt very
strongly that the AHYHA member attending meetings is from the AHYHA executive committee and
that this person would bring meeting updates back to the AHYHA board meetings on a regular basis.
Ted will follow-up with Jim Dickinson to discuss.

Recap surveys that went out to Andover Residents
CIP outlook/infrastructure so council is aware
Ted suggested 1 – 2 times a year to take a tour or bring in a speaker to talk about a new
activity/program/equipment. Topics could include serving community, expansion, equipment or
partnerships like a restaurant like Fogerty Ice Arena recently added.
Staff will produce a year-at-a-glance calendar outlining specific meeting topics.
The annual city council workshop – February 2015 will be here at the Andover YMCA Community
Center. Staff felt a tour of the building would be beneficial to show the council, since new members
will be present.
Expansion Recap
Frank suggested that all commission members look over the list from our May 2013 brainstorming
session and challenged each member to pick their top 3 items. Mark reminded commission members
that he had also submitted a power point presentation with expansion interests. Frank suggested that he
also narrow that list down to AHYHA top 3 items.
Future Meeting Schedule
Frank suggested that we discuss the agenda that will be used for the City Council Workshop in February
at our next meeting since there are no meetings scheduled for January. Erick and Allison will meet to
discuss as well as touch base with Jim Dickinson to confirm time allotment, etc.
Commission members felt that the agenda should include, explaining the community’s needs, the Y’s
needs and how we can be cash flow positive. Other ideas included to list success and limitations, talk
about the number of kids served at YMCA during the after school program and how kids need to leave
at 5 pm due to space limitations. Also to talk about the growing number of AHYHA hockey players,
Mark indicated that this year’s registration numbers were at an all-time high with 450 kids participating
in their program. Also to mention that 2/3 of AHYHA hours are at Super Rink, not here at the ACC.
Also touch on senior activities and to tell a story or have people share their story. Frank suggested we
also talk about parody, look at Sunshine Park and what dollar amount per ball player is spent by the city
keeping up the fields, etc.
Frank strongly encouraged all commission members to attend the February 24, city council workshop
meeting and participate in the tour.

YMCA Update (see handout)
Erick received a call from Andover Baseball Association, requesting that the community center consider
adding trophy cases in the main hallway so that Andover Baseball can display their trophies. ABA
indicated that they would provide the cases. Erick will continue discussion with Jim Dickinson.
Erick also mentioned to Mark that at some point they’ll need to start condensing the ice arena banners.
It was suggested they may want to look at 1 banner per calendar year, listing all teams/awards.

The next meeting will be scheduled for Monday, December 15th at 6:00 pm at Pizza Ranch, Andover.
