Andover YMCA Community Center Advisory Commission Meeting Minutes Monday, August 25, 2015 Andover City Hall In Attendance: Tony Peterson, Erick Sutherland, Tony Howard, Joy Orvis, Frank Kellogg and Allison Boes. Absent: Mike Knight and Ted Butler Previous to meeting, commission attended the Andover City Council Workshop. See Andover City Council Workshop meeting minutes dated, August 25, 2015. Call to Order 7:55 pm Agenda Approval Approved as written Approval of Minutes Motion by Tony Howard, Seconded by Tony Peterson, to approve August 10, 2015 minutes as written. Motion carried unanimously. City Campus Expansion Master Plan Allison will be in contact with YMCA corporate to discuss master plan layout, including the proposed location of the splash pad. ACC and YMCA staff will review square footage requests provided to HCM to ensure there is an adequate footprint for future expansion. The maps provided at the city council workshop did not appear to be an accurate representation. Erick will follow-up with HCM in regards to the footprint representations as well as ask that any future maps that are provided that the proposed Ice Rink expansion be revised to read Multi-purpose Sports Arena as previously discussed.  September 1st - Review the attached city campus master plan study and send comments to both Cindy c.ramseier@andovermn.gov and Erick e.sutherland@andovermn.gov by Tuesday, September 1st. When reviewing the plan identify and comment on safety concerns, traffic flow layout, proximities and expansion/facility square footage needs.  September 3rd - ACC staff will compile all commission comments and return compilation to advisory commission for review via email by September 3rd.  September 9th - The Andover YMCA Commission will meet on Wednesday September 9th at 6 pm to finalize all city campus master plan study comments. Meeting location TBD.  September 17th - Final comments on city campus master plan study submitted to HCM. Andover YMCA Community Center Advisory Commission Minutes August 25, 2015 2016 Budget Erick met with Lee Brezinka, Andover Assistant Finance Director, and revised the budget numbers for 2016. ACC staff was able to project more accurate numbers by receiving updated quotes on future CIP projects as well as identifying a more refined budget projection for 2016. Joy and Cindy will continue to work on ideas on how to expand future revenue and ideas and put a list together for the commission – primarily they will be working on non-prime field house time. Frank suggested that Joy draft a paragraph to be included with the budget information to the council, indicating ideas on how the community center will continue to increase revenue. With that, Joy handed the commission an outline of a marketing plan that she has been working on. Joy will send a draft paragraph out to commission and comments should be returned to Joy by September 1st. Frank asked Allison how the YMCA marketing plan is implemented. Allison stated that almost all marketing is done through corporate. She has very little marketing dollars available to spend specifically at the Andover location. Erick will follow-up with city staff to confirm timeline of council receiving budget information. He will also check to see if we can include the paragraph within the budget booklet that will be presented to the council. Staff Report YMCA & ACC Update: Summer is almost over and soon we’ll be moving onto our fall programs!
