Sharon made a motion to approve. Danielle seconded. The motion to approve the minutes was fully accepted. • No public commenters present. No public comment made. • The body moved to new business. Julita added to the agenda the following: a recommendation to vote on the raising of the Juneteenth and Pride flags. • Via Vice-Chair Tameka’s request, Niki briefly reminded everyone of what happened last year with Juneteenth and Pride flags. • Danielle mentioned that Cameron said the Pride parade will be on June 3rd, 2023. Danielle said that Cameron’s thought was to have June 1st-16th the Pride Flag would fly. • A general consensus was made that the Pride flag will fly from June 1-16th and the Juneteenth flag will fly June 16th-30th • According to Chair, Homer Wilson is extremely excited to collaborate with the HRC. Sanders let Homer know that funding is available. She also told him that the HRC can assist with tents/stages. Homer responded to Chair that he already put in for those items. • Chair said that Homer Wilson/Hot Corner is having a committee meeting on March 22nd , where they can tell the HRC more about what they would like to see. Chair reached out to one of the neighborhood leaders, Terris Thomas. Terris is on vacation. Chair said that she will reach back out to Terris when she returns from vacation. • Chair stated that she hasn’t heard anything back from the churches. The following churches were mentioned: • Ebenezer Baptist Church • Timothy • Hill Chapel • Mount Pleasant • Hill First • East Friendship • Other organizations Chair mentioned were the Divine 9 and NAACP. • Tameka recommended including the UGA community, minority services, and programs at UGA • Chair said she’d reach out to David from Chamber of Commerce to see if they want to participate. • Niki stated that Homer needs to provide specifics in regards to expenditure requests (examples being food, drinks) Inclusion Office THE UNIFIED GOVERNMENT OF ATHENS-CLARKE COUNTY, GEORGIA P. She’ll then send that information along to Kent. • Chair asked if Homer and Kent should speak directly, instead of having the HRC as the middle man. Niki said yes but Homer should still meet with the HRC. • Danielle asked if the banners and copy would come out of the Leisure Services 20K budget. Niki stated that this is circumstantial. Niki said that Homer Wilson would have a lot of input as to what we officially release to the community. • Danielle asked how Juneteenth marketing/branding would look for them at the Hot Corner event. Niki stated that the Inclusion Office is capable of creating those marketing materials. Julita said we should not make marketing materials for just Juneteenth, since the HRC is new and represents all of the community. Julita said if we have any materials to present then it should focus on introducing the HRC to the community. • Tameka said that information about Juneteenth does need to be on materials, especially prior to the Hot Corner Festival. She pitched the idea of purchasing Juneteenth designed fans, with HRC information on the other side of the fan. Tameka said a Pride flag fan with HRC information on the back of it should be made as well. • Julita asked if there is money in the budget to get the requested fans. Niki stated yes. • Sharon asked if a media video/visual loop of HRC members stating why they’re a member could be provided. The group had a consensus that the HRC Intro videos would work. Niki said Leisure Services could definitely be able provide the devices that the videos (rather TV, iPad, or laptop) could loop on. • After asking if the other subcommittees had done this, Jayivey said a simplified version of the NDO needs to be made. • Remy said the Morton Theatre has two dates available for the HRC to use for Juneteenth related events (education/cultural): June 1st and June 8th • Chair said she forgot to mention she’ll reach out to Fred Smith. • Chair said the Hot Corner festival schedule is: • June 8th - Kickoff • June 9th - Gospel Kickoff • June 10th - (which Chair believes to be at the Morton Theatre) • Chair would like Mr. Fred involved with the HRC’s Juneteenth educational/cultural event. • Danielle said that Pride will be at the Classic Center from 3 p.m.-6 p.m. on June 3rd, which is an opportunity for HRC to table there. Danielle stated that Cameron also said that some HRC members could walk the parade. Danielle said there’s more than likely going to be a float at the parade, which HRC can possibly be a part of. This is the second recommendation to bring to the entire HRC (specifically the 3.22.23 meeting). • Cameron said that some organizations may charge for us to table. Tameka asked if this would come out of the Leisure budget. Niki said yes. • Epps stated that all event-based costs will come out of the Leisure Services budget. She also stated that materials marketing HRC would come out of the Inclusion budget. • Epps said that they need interactive materials on the table at events. Some examples that were shared: • QR-Code • Handbill • Water bottles • Fans • Hand Sanitizers • Survey • Pins that point to four service areas that need to be focused on in the work plan. • Dr. Epps said that the pins can alter according to the event. Niki said we’d have to go through Leisure Services to order Juneteenth gear. Danielle said she’ll reach out to Leisure Services regarding this. • Cameron said we could send the marketing materials we’ve used in the part to the HRC. • Dr. Epps said she’ll check with the PIO regarding what is permitted and forbidden with marketing for the HRC (such as a logo). • Julita repeated the recommendations to bring to the full HRC: 1. Splitting the timeframe for flags (Juneteenth and Pride) 2. How we will work with Mr. Wilson and Hot Corner Festival (More information) 3. Working with Pride – June 3rd – Walking with the banner – Ordering paraphernalia 4. Simplified NDO • Tameka asked how vendors can have a table at an event.
