Meeting called to order at 6:00 P.M.
Committee accepted the October 2023 minutes
Chairperson’s Update and Report
Chair acknowledged the job that the subcommittees did to coordinate the committee’s
upcoming town hall.
Dr. Epps shared updates from the Inclusion Office:
o She shared her appreciation for the effort members have put into the work and
communication of the committee.
o She expressed the community’s excitement for the upcoming HRC Town Hall.
o She provided an update on the current planning of MLK Day of Service and
invited the committee to attend and participate in the volunteer opportunity.
o She asked committee members to fill out the nametag request form at their
earliest convenience.
The committee voted to set December 7, 2023 at 6pm as their next meeting.

Old Business
The subcommittee’s updated the group about their work on planning the HRC Town
Hall.
o Chairman shared the importance of choosing the correct name for the event.

The group shared their ideas on choice of names and came up with
Community Education Session.
The outreach subcommittee provided updates on the education session location, date, and
time.
o The subcommittee decided on the ACC Library as the best place to have the
community education session.
o The group discussed a time that would be ideal for community members to attend.
They also discussed the best time to coordinate speakers as well as the event
schedule.
o The group discussed the potential of having light refreshments at the event.
o The group voted to schedule the community education session on January 25,
2024 from 5:30 – 7:00 p.m. at the ACC Library.
The Unlawful subcommittee provided updates on the format and content of the event.
o The subcommittee discussed their idea about breaking the meeting into sections.
The sections would include; pre-meeting, meeting, and post-meeting. This would
provide community members the opportunity to ask questions throughout the
education session.
o Dr. Epps updated the group on the process of translating the NDO. She expressed
that she is working to learn what that process looks like.

o The subcommittee discussed the potential of gathering community feedback
before, during, and after the education session.
o The subcommittee discussed the potential of having interpreters at the event and
what it would look like compensating those individuals.
The group provided feedback on who would be good at presenting the information in the
NDO, ideally someone who knows the correct process and has the knowledge. The
person could potentially be someone from the ACC Attorney’s Office. Dr. Epps
expressed that she would reach out to the attorney to see if they have some availability
for the January event.

New Business
Chairman mentioned the next steps regarding the Juneteenth RFP.
The group shared the importance of educating community members on the RFP process
prior to its release. The group further discussed what it would look like educating the
community on the RFP process, as well as the steps the group would take by moving
forward with the release of the Juneteenth RFP.
