ID e^ Re: Pool Pavilion brication and Delivery of Glu-Lam Arches and Glu-Lam Beams Bids were opened on August 4,2016, at 11:00 AM for the above referenced project. Present at the bid opening were David J. Turiano, P.E., and Philip E. Zegarclli, Village Manager. Three bids were received. The scope of work includes the engineering design, shop drawing preparation, and the fabricatiorVdelivery of Glu-Lam Arches and Glu-Lam Beams for the Pool Pavilion reconstruction project. The work is specifically described in the plans prepared by Reilly Tarantino, Structural Engineers, Smithtown, NY dated July 25,2016, Title Sheet S-100 Roof & Partial Ceiling Plan and 5-200 Glu-Lam Arch Details. The Village is purchasing these Glu-Lam Arches and Glu-Lam Beams separately to get a head start on the overall construction schedule for the Pool Pavilion rebuild project. It is noted that these specialty items are custom designed and fabricated, and accordingly have a long shop drawing preparation/review phase. In addition, there is a lengthy fabrication phase. All phases combined could be in excess of sixteen to twenty (16-20) weeks: calculated out as 4-5 months; that is year end. Bidder Bid Amount Structural Wood Systems $100,445.00 Unalam $107,184.00 Sentinel Structures, Inc. $114,406.00 The low bidder, Structural Wood Systems, located in Greenville, Alabama was contacted to provide some projects that they worked on in the Northeast. Three references were provided which were contacted by the Village with two responding. Tom Tate with Tate Builders, Inc. of Vineyard Haven, Massachusetts was contacted. His firm develops high end single family homes at Martha's Vineyard. Tom was very adamant in stating that 2 all aspects of Structural Wood Systems were excellent, from the shop drawing phase through the delivery of the laminated beams. He further indicated that the laminated beams for the particular project he was working on were not straight forward: but contained are of unusual designs. Michael Tartaglia with Epic Management, Inc. of Piscataway, New Jersey was also contacted. His firm utilized Structural Wood Systems to fabricate and deliver Glu-Lam Beams for the Princeton University Laboratory for Embodied Computation, that was recently completed. Michael indicated that there were some design changes that were identihed during the shop drawing preparation phase and that Structural Wood Systems was very responsive to the changes. He indicated that the project was on-time and that the hrm "knows their product". It should also be noted that Structural Wood Systems maintains a very impressive website, http://www.glulamstructuralwood.com. In addition, my office had several discussions with the Estimating and Engineering staff regarding various details of the project including lead times. Structural Wood Systems was very favorable and responsive to all discussions. We wish to reiterate and confirm that this amount will be completely reimbursable as part of the insurance proceeds for the project. Indeed, we wish to add that the insurance adjuster was physically at the Village's office for an insurance recovery meeting at the time of the bid opening and was very impressed with the bidding process and responses. Based on the above, I recommend that the Village award the contract to Structural Wood Systems of Greenville, Alabama in the amount of $100,445.00.
