Page 1 of 19  Committee Item Memo Meeting Date: April 21, 2026 Staff Contact: Matt Odom, Parks and Recreation Director Department: Parks and Recreation Subject: Parks Capital Projects, Administration, and Special Events Background Information: Parks Capital Projects Updates: Ehlert Park Field 1: Phase #1 of renovations are nearly complete. Asst. Village Manager Ferrari and Director Odom did a punch list walkthrough with the architect and construction company on Wednesday, April 8, to identify remaining items that needed to be addressed, with only minor items remaining. Permanent benches were installed in the dugouts by Public Works staff on Tuesday, April 14. At this point, both RBHS and Brookfield Western Conference have begun utilizing the ball field again to varying degrees. Phase #2 of the project is scheduled to begin in early June after RBHS completes its varsity and junior varsity seasons. This phase will consist of work outside the field of play including the installation of a new storage facility and announcer booth behind home plate. Maple Park South: The Village ordered a topographic survey from Hancock Engineering in late March to ensure flooding reported within the park can be addressed at installation. In early April, the new playground equipment was delivered and is being stored in a Public Works facility. Ultimately, it was determined that some earthwork and grading were going to be necessary to have the playground equipment properly installed while ensuring necessary drainage is going to take place on site. Hancock provided us with a recommended plan for utility and grading along with an estimate for the base scope of work. We are currently in the process of getting quotes as we are hoping to move this project along as quickly as possible. Brochure & Registration The Summer brochure should be out the week of April 20 with resident registration for Summer programs opening Friday, April 24. We are excited to get the physical brochure in the hands of Page 2 of 19 patrons sooner than it has been printed and delivered in the past and hope to adjust the brochure timeline to get it out even sooner going forward. Also, the Summer brochure will once again be available digitally in the Flipbook format on the Village’s website. Special Events 4th of July Celebration Planning is under way for our annual patriotic celebration. The parade will be returning to its normal route after having changed in 2025 due to road work. We are planning to do a Liberty Bell rededication of some sorts this year to honor the semi quincentennial anniversary of the United States of America – more details to come. The Good Stuff Band (Kenny Chesney cover/country) and No Limits (classic rock) will be our music headliners for Party in the Park. As usual, there will be food, drinks, and all kinds of fun in Kiwanis Park throughout the day this 4th of July. Summer Concerts The summer music schedule for Concerts in the Park, Music on Grand, and our 4th of July festivities has been finalized. Hillybilly Rockstarz (country), Free Fallin (Tom Petty cover), 90’s Pop Nation (pop/rock), and the Yacht Rock-ettes (yacht rock) are the Music on Grand headliners this year. The Water Tower 3s class is now full, with 12 students enrolled. The Rec House 3s class has 8 students registered and 4 available spots.  The 4s classes remain full, with waitlists.  This month the classes were all reading, acting out and exploring classic folktales. The 3s classes loved exploring multiple versions of The Three Billy Goats Gruff. The 4s classes were thrilled with the many variations of The Three Little Pigs. We loved seeing the students incorporate elements from these stories into their play. Teensy Tiny Tots  Kate Deeds is the new lead teacher for this class. Kate has previously worked with students at Brook Park as a lunchroom monitor and in their after school program. She is enjoying working with our youngest participants.  This class was introduced to some classic folktales: The Three Little Pigs and Goldilocks and the Three Bears Nature Explorer Preschool  The March field trip was to Fullersburg Woods and the Fullersburg Wood Nature Center. We had a great time walking along Salt Creek and visiting the wonderful nature center.  This class also enjoyed a classic folktale. They acted out the story of Goldilocks and the Three Bears while outside.  The Kiwanis green area has provided many large puddles, worms and large sticks for us to discover and enjoy. Spring Programs Page 5 of 19  Family Bingo and Ice Cream: Friday, April 10 at 6:30pm - 21 participants registered.  Energetic Evenings-Session 3: Thursday evenings - 8 participants.  Multi-Sport Mania-Session 3: Saturday mornings - 8 participants. o This program is held at Hollywood School gym.  Sports of All Sorts-Session 3: Saturday mornings - 10 participants. o This program is held at Hollywood School gym.  Art Works-Session 3: Wednesday afternoons - 6 participants.  Creative Movement and Dance Tot & Parent Session 3: Saturday mornings in the Rec Hall - 9 participants. (Previous sessions did not run due to low enrollment.)  Asah- Session 1: Wednesdays in the Kiwanis Band Shell - 8 participants  Adult Yoga-Session 2: Monday evenings - 16 adults registered and 3-4 drop-in participants weekly. Summer Camp 2026 o Camp Budding Brookies  Registration continues, but there are still many available spots.  We will be advertising this camp on our social media page in the next few weeks.  The Summer Brochure should also be in residents' mailboxes soon. The brochure usually helps with registration for this camp.  This camp is fully staffed. o Camp Brians and Games  Performers are being scheduled to come to Brains and Games this summer. Since these campers do not go on field trips we bring some fun experiences to the camp. So far, I have scheduled a reptile show, a magician, a musical storyteller and a Kids’ Zumba class.  I am looking to hire one teacher and one more counselor for this camp. I have several candidates scheduled for interviews this week. o Summer Teensy Tiny Tots  We are offering 7 weeks of programing this summer.  Registration is going very well and some weeks are nearly full.  I need to hire 2 more counselors for this camp. Pavilion Reservations and Rentals 2026  Pavilion reservations are ongoing.  The online reservation option has been used by a few people, but most people prefer to use the paper form and pay over the phone when reserving their pavilion. This is the first year for online reservations; I am hopeful that more people will use this service in the future.  The first pavilion rental will be on April 25 this year. We are beginning a little earlier than usual. The weather has been warm and the bathrooms are open. Page 6 of 19  The Rec Hall (Village Hall Basement) will be used by the Brook Park Girl Scouts on Friday, May 1. We will have one of our part-time staff members present during the event. Beginning next year, we will be opening non-resident registration a week after resident registration. For registration there is a $25 deposit for each week of camp for Kiwanis and GREAT (Traveler is a $75 deposit) that goes towards each week’s payment to hold the participant’s spot. Before and after care extends camp hours for families who need to drop off earlier than the camp start time of 9:00am or pick-up later than the 4:00pm end time. Before care beings at 7:00am and after care goes until 6:00pm. Before and after care is available to all families enrolled in our full day camps. Before and After Care Program, Specialty/Day Camps, General Youth Recreation Background Information: (STARS) (General Youth Recreation) (Specialty/Day Camps) District 103 Half Days Recreation Supervisor Jacob Garza and Director Matthew Odom are currently collaborating and working closely with District 103 to establish and lay the groundwork for early dismissal school camps through our partnering district 103 schools, Lincoln, Costello, Home, Robinson, and Edison Elementary. As mentioned previously some notable data included:  256 collective responses  84% of respondents indicate an interest in enrollment  Potential participants reaching 350-400  Operate time of greatest need, 12:00pm – 4:00pm A meeting with both Jacob and Matthew, as well as Stephanie Koenig and Kim West from District 103 on March 26th, laid out the initial groundwork for this project. During this discussion, members talked about logistics, location, staffing, and going over the survey that was presented to Jacob and Matthew regarding parent interest in this potential program. A district 103 Survey for early dismissal camps will be sent district wide in May to all families. This survey will specify what important factors parents are looking for in this program.  Cost  Location  Activities offered  Staffing  Schedule This survey also highlights the specifics of what grade age as well as specific school children will be attending too for the 2026-27 school year. With the conclusion of this survey, a final meeting will be held May 11th with district 103 to finalize the remaining components to this future day camp. Conversations will be focused on scheduling, space availability and program structure. Updates will be provided as planning continues. General Youth Programing and Youth Sports Page 13 of 19 This April some new and continuing youth programs started to conclude the winter/spring session. Peewee Soccer, T-ball, Flag Football, and Super Spring Cooking Class are some of new and returning programs that have started. Kids can learn and play like their favorite NFL and MLB athlete in flag football and t-ball, while kids learn the fun basics and fundamentals in peewee soccer. Super Spring Cooking class invites participants to create classic springtime food recipes such as fruit salads and homemade pizzas! Both of these specialty camps have opened for registration, more specifically, parents who were on the waiting list for other camps, were sent an email in regards to these specialty camps opening up. Jacob Garza has conducted multiple interviews to staff these camps, as well as created a parent manual and staff manual to go along with both of the new camps. Detailed Information on Specialty Camps: Junior Outdoor Adventure Camp - Junior Outdoor Adventure Camp is a new specialty camp starting this summer. This camp is packed with hands on-nature discovery, scavenger hunts, outdoor games, and creative crafts designed for only the best young adventures! We also include a Wednesday field trip to Brookfield Zoo. Session 1: 06/08 - 06/12 Page 14 of 19 Session 2: 06/15 - 06/19 Time: 9:00 am - 1:00 pm Fee: $110/$120 Imagine Nation: Creators Makers Camp - How creative is your mind? Creator Makers Camp is another brand new specialty camp starting this summer. From cardboard creations and recycled inventions, to slime labs, paining and collaborative builds, campers will design, create and experiment in a fun and supportive environment. Session 1: 06/22 - 06/26 Session 2: 06/29 - 07/02 Time: 9:00 am - 1:00 pm Fee: $125/$130 $100/$105, shortened week for session 2 Spring Break Camp March 30th - April 6th saw our spring break camp in session. Throughout that week, students from both district 95, 103 and others, came on selected days for our spring break break camps. Throughout the week, staff organized and planned games and activities for kids to participate in as well as a daily trip to Riverside Brookfield High School to play inside the gymnasium. This is deeply appreciated and valuable feedback for staff members to continue to pursue excellence and great customer service to our members. Some of the feedback heard was from, but not limited to, cooking classes, youth volleyball and our Stars program. In these surveys, we ask families to describe their child's experience, what specific aspects of the program were most enjoyable, and open ended feedback for future programs.
