BOARD OF CONTROL Meeting Minutes A Board of Control meeting was held Tuesday, September 15, 2020 at 9:00 AM in the Mayor’s Conference Room. Board President, Mayor Bernabei called the meeting to order at 9:01 AM. Director of Public Safety Andrea Perry and Director of Public Service John Highman were present. Board Secretary Katie Wise was also present. There were no visitors present. The following items were for review/approval by the Board of Control: 9/15/2020 - Minutes 1. Ordinance 57/2019 Enter into Change Order No. 1 & Final with Wenger Excavating, Inc. for a cost reduction in the amount of $2,711.15 for the Shadyside Sanitary Sewer/Water Project, GP1221 in order to close out the project, resulting in a new contract amount of $159,899.40. Discussion: No discussion. Motion: Mayor Bernabei made a motion to approve the above referenced change order. Director Highman seconded. Vote: 3 yeas 0 nays Motion carried. 2. Ordinance 66/2020 Enter into a professional services contract with Pavement Management Group, LLC in the amount of $49,275.00 for continued Pavement Management Services of the entire network of City streets. Discussion: Per Director Highman, this is a one-year contract. Last year, Pavement Management Group (PMG) performed this service for the entire network of City streets. Beginning with this contract, and moving forward, PMG will evaluate half of the streets each year, as conditions change. All streets will be evaluated over the course of two years giving the Engineering Dept. access to current lists of the streets in the worst condition that need attention the most. Director Highman is very happy with the services that PMG has provided so far. Motion: Mayor Bernabei made a motion to approve the above referenced contract. Director Highman seconded. Ordinance 66/2020 Enter into a professional service agreement with Data 4726 LLC DBA SecureData 365 for a one-time setup fee of $5,000.00 and a monthly recurring fee in an amount not to exceed $13,286.02 to move the City’s legacy virtual server environment to SecureData 365’s hosted virtual server environment to ensure critical application, server availability, data security and backup. Discussion: Katie Wise requested that this item be tabled for this week as SecureData 365 will be providing a revision to the agreement. Motion: Mayor Bernabei made a motion to table the above referenced contract. Director Highman seconded. Ordinances 51/2019 & 1/2020 Enter into Change Order No. 2 with S.E.T., Inc. in the amount of $4,700.00 for the Fawcett Ct. NW Drainage Project, GP1300 in order to remove and replace the curb along the existing properties, resulting in a new contract amount of $189,396.33.
