DISCUSSION Spring Event At the September meeting, the Commission decided to hold a spring event to celebrate the new ‘Resilience’ sculpture series in John Meade Park. The celebration will be held in combination with a botanical art show. The Commission selected Saturday, April 20th, 2024, from noon-2pm as the date of the celebration. Ideas for the event discussed at the last meeting are included below. Staff has added actual or estimated costs for vendors the City has worked with for other events. Updates since the last meeting are in bold text. A budget spreadsheet specific to this event is attached as Exhibit C. • Tickets: o Event will be free and not ticketed (per November CHVAC meeting) • Event layout: o Activities will be located at each sculpture. o A passport/map will show where activities are taking place; stamps will be available at each station for the passport.  Commissioner Ortiz-Hill has created a map (Exhibit A) o Picnic tables will be located under the park shelter and on the grassy area. o Picnic blankets will be available in main park area and at Alan Hutto Memorial Commons o Food trucks in back of parking lot • Entertainment: o Live animal exhibitors (such as the Butterfly Pavilion or a raptor organization)   Staff has contacted the Butterfly Pavilion and scheduled them to attend.  Could be located near the old park shelter/hummingbird sculpture. o Chalk outlines of animals on concrete stage at Alan Hutto Memorial Commons that kids can color in o The video of Joe Norman speaking at an earlier event can be played on loop in Council Chambers. o Face painters ($285) o Fairy hair booth ($450 - $150/hr, 3 hr. minimum)  Staff has confirmed with vendor.  Booth will be located indoors with the Art Show. o Music – Commission decided to use a playlist (rather than live music or DJ)  Staff will select a family-friendly Spotify playlist o Bounce castle (estimate $600-$800 – including an attendant for 2 hours) • Favors & Gifts: o Each sculpture station will have a different favor:  Native plant seeds ($349) – have not ordered yet, please confirm  Butterfly nets  Owl and butterfly sticker kits and hummingbird stickers o The Commission decided against hats/t-shirts/larger prizes. • Food: o Staff has booked the In & Out Burger truck per the Commission’s direction at the January meeting ($2,600 for 200 meals, plus additional cost above 200) o Kona Ice Truck has been booked as well. o No alcohol will be served, per November CHVAC meeting. o Bottled water and sparkling waters will be available in coolers. • Silent auction o At the January meeting, the Commission decided that only the three maquettes will be available for the silent auction (no other items). o Maquettes will be located on a table outside City Hall. • Decorations o Paper flowers at park shelters  Schedule a time for Commissioners to create them together; staff will notice as a Work Session o Commissioner Federowicz suggested various décor items, attached as Exhibit B. The Commission should review and decide. • Advertising o Village Crier articles have been published. o Email blasts have been sent to donors, News & Events list, and Art Commission list. o Staff has invited the Cherry Hills Garden Club o Yard signs have arrived and will be placed around the city ~10 days prior to event. • Volunteer Stations o Passport/welcome table (2 Commissioners)  o Silent auction table supervision o Art Show o Monarch sculpture o Hummingbird sculpture o Owl sculpture o Commissioners should confirm their availability to volunteer during the event  Yes: Co-Chair Hall, Commissioners Ortiz-Hill, Patteson, and Fedorowicz  Unknown: Co-Chair Schmidt and Commissioners Morrow and Moore Art Show The art show will be held in the spring in conjunction with the sculpture celebration. Commissioners Fedorowicz and Patteson have coordinated with the Denver Botanic Gardens’ School of Botanical Illustration (DBG). The School offered to share their existing exhibit of ten pieces by 6 artists, including the wall didactic that accompanies the current display. City Council approved the contract at their regular meeting on March 19th, 2024. The pieces will be on loan for display from April 15th – June 1st. Staff will coordinate with DBG staff for dropoff of the pieces at City Hall on April 15th. The Commission should schedule a time (8:30am- 4:30pm) between April 15th and April 18th to hang the pieces in City Hall. NEXT STEPS The Commission should specifically provide input on the highlighted items above; any additional feedback is also welcome. DISCUSSION Sculpture Donation In 2023, Mr. Saito offered to donate his piece “Bamboo Girl” to the City of Cherry Hills Village. The piece is on loan to the City of Arvada through spring 2024 and is located in Arvada’s Memorial Park. After a site visit and consideration over several meetings, the Commission voted at the January 29, 2024 meeting to recommend that City Council accept the donation of the sculpture for placement at the corner of Clarkson and Quincy Ave. Staff presented the sculpture donation to City Council at the March 19th, 2024 meeting. Council approved the donation at the meeting. The sculpture will be removed from its Arvada location and delivered back to the artist on April 8th. Staff will arrange to pick it up from his studio after that date. It can be placed in its new location later this spring. Staff will commission engineering drawings prior to the installation, since none exist for this sculpture. DISCUSSION At the January meeting, the Commission discussed the possibility of redesigning the existing CHVAC logo. The existing logo and its variations are below: NEXT STEPS Should the Commission decide to go forward with a logo redesign, they should determine next steps and what funds should be reallocated from a different category within the 2024 budget. DISCUSSION After serving for many years as the City’s art consultant, Kendall Peterson (ThereSquared LLC) is not able to continue with the Commission going forward. At the last meeting, the Commission discussed possible next steps. The Commission decided that: • Commissioners should reach out to their recommended consultants, and if interested and available, forward their resumes to Manager Black to add to the packet for the next meeting. • Manager Black would also gather the resumes of past applicants and add them to the next meeting agenda packet. Resumes received through the previous consultant hiring process are attached as Exhibit A. There is $5,000.00 in the 2024 budget for a consultant, and $10,000.00 for the sculpture-on-loan program. Staff anticipates this process will delay the start of the next loan; the current Mangold piece is on loan through July 2024. NEXT STEPS The Commission should provide feedback on the attached resumes and the process for hiring a new consultant.
