THE CITY OF CHICOPEE DEPARTMENT OF HUMAN RESOURCES City of Chicopee Dental Trust Meeting Minutes 8/26/2021 A meeting of the City of Chicopee Dental Trust was held on August 26,2021 in the Auditorium at City Hall. The following people were in attendance: Trustees Present: Sharyn Riley Marie LaFlamme Glen Olbrych (via telephone) Others in attendance: Dawn Fortin Jane Steffes Richard Merchant Kathy Breton Marc Criscitelli Russell Denver The meeting was called to order at 10:19 AM by Sharyn Riley Meeting Minutes 4/6/2021 Minutes from the previous Trustee meeting held on 4/6/2021 were reviewed. Marie LaFlamme made a motion to accept the minutes as presented. The motion was seconded by Glen Olbrych and a vote was taken and passed unanimously. New Trustees There was a discussion regarding voting in a new Secretary to take the place of Sharon Croteau, who tendered her resignation in July. Marie LaFlamme made a motion to accept the resignation of Sharon Croteau. Glen Olbrych seconded that motion. A vote was taken and passed unanimously. Marie LaFlamme made a motion to appoint Jane Steffes as a Trustee to replace Sharon Croteau. Glen Olbrych seconded that motion. A vote was taken and passed unanimously. Glen Olbrych seconded that nomination and a vote was taken. Jane Steffes was name the Secretary of the Board by a unanimous vote. Jane was welcomed to the Board as both a new member and the Secretary. Treasurer’s Report Dawn Fortin reported to the Trustees that the Treasurer’s office has been doing an Audit of the Dental enrollment. There were a number of subscribers that should have been terminated from the plan when they terminated employment but they were not. The May census was reconciled and the enrollment is in better shape than it was. Dawn is still working on reconciling the August census as there could be additional employees that retired or termed between June – August, 2021 that were not processed. Discussion ensued as to how this could happen and Treasurer’s and HR are going to work together to develop a better system of communicating terminations between Schools, Retirement and the City. HUB presented Claims History- Dental: YTD Trust balance (-$52,715.94) Trust rolling balance since inception 2015 – March 2021 ($1,040,085.59) Still have over $1,000,000 in Dental Trust Glen Olbrych made a motion to accept the Reconciliation Report as presented by HUB International. Marie LaFlamme seconded that Motion. A vote was taken and passed unanimously. HUB Presented Claims History for the MERP Claims History Medical MERP 7/1/2021-7/1/2022: HNE YTD claims $83,055.13 – BCBS YTD claims $2,217.58 MERP Balance as of August 2021 - $1,151,273.95 Next meeting to be held Tuesday, October 5, 2021 10:00am City Hall Auditorium Motion to Adjourn made by Jane Steffes and Seconded by Marie LaFlamme. A vote was taken and passed unanimously.
