Approval Minutes of Last Meeting Ms. Evander motioned to approve the minutes as submitted. Ms. Wertz seconded the motion. All were in favor. The motion passed 3-0-0 II. Discuss how to handle funds remaining in a candidate’s account (whether successful or unsuccessful in previous election) if candidate wants to run for a different office than that for which the funds were previously collected To change 34-14 H. of the city code The second sentence should state “Funds may be carried over and used in future city elections.” ADDITION: “A report of such disbursement OR CARRYOVER shall be....” III. Campaign Contributions- To Whom? The item is tabled and will be discussed at a later date. IV. Discuss making Campaign Finance Reports available online The reports will be available online after being approved by the Chief and the Board of Election Supervisors. V. Review/Modify draft Canvas Procedure-Formally adopt or use without formal adoption and rework where required after this election Mr. Robson will resend as an .rtf for editing by the Supervisors. All edits can be sent to Mr. Robson via email.  VI. Impact of loss of the “Gazette.” The Supervisors are required to publish information about the elections in a local newspaper. Mr. Robson suggested calling the business office of the Washington Post to ask if they may have a local legal section so that College Park and other municipalities can post about their local news. Ms. Wertz suggested the Posts Local Living section. VII. The “Book” (Book we give to all candidates, ourselves and anyone requesting) Mr. Robson suggested the Supervisors read the handbook in case a candidate calls and asks a question. VIII. Official “Campaign Season” The City does not have an Official Campaign Season. Should the Supervisors set a date? The Handbook is given out in August and petitions are due in September. The Supervisors agreed that the first Monday in August will be the beginning of Official Campaign Season and the Election Handbook will be available on that Monday. IX. “Open” discussion Ms. Theis will call the Clerk’s office a month in advance to schedule a conference room for a meeting with her committee regarding the voting machines. Electronic Voting Machine: Mr. Robson described the machines the County has to lend to the Supervisors. The machines cost $5,000.00 and Mr. Robson will see if the Mayor and Council approve the machine. Election Judges: Mr. Robson will send a list of election judges in September and the Supervisors can only call judges in their district. All judges have to be 18 and registered voters in the state of Maryland. If there are judges left over then they can be sent to another district. Each district needs five (5) judges. Mr. Robson will email the list of judges from the last election as well as the pay rate. Evening of the election: Mr. Robson hired two people from the College Park airport that unfolded the ballots to help save time for the supervisors to count. X. Set next meeting date Monday, September 21, 2015 at 7:00 p.m. Adjournment: Mr. Robson motioned to adjourn. Ms. Theis seconded the motion. All were in favor.
