Approved: 102518 Minutes Dr. Martin Luther King, Jr. Tribute Committee Thursday, October 18, 2018 7:00 p.m. City Hall, Lower Level Conference Room Members Present Absent Lilla Sutton, Co-Chair X Anita Wolley, Co-chair X Dottie Chicquelo X Dorie Arbach X Jordan Schakner X Thelma Lomax, Honorary Member X Also Present Monroe Dennis, Councilmember District Two X Sharon Fletcher, Staff Liaison X Carleveva Thompson, Contract Secretary X I. Call to Order Ms. Sutton called the meeting to order at 7:18 p.m. II. Review and Approval of Agenda There was no quorum present to approve the agenda. III. Reading and Approval of Minutes There was no quorum present to approve the September meeting minutes. IV. Update on Jan 2019 Event a. Venue – The Clarice Smith is available on January 12, 2019 instead of the intended date of January 19, 2019. The venue has been placed on hold for the January 12th date until the committee decides whether the event will be held on January 12th or January 19th. b. Speakers – Ms. Fletcher reached out to Mr. Comissiong and is awaiting a response on his availability for the January 12th date. c. Performers – The performers will be contacted upon date confirmation of the event. d. Program Format – Ms. Fletcher received language from the City Attorney to address the invitations, program and advertisement that is provided for the event. 1 V. Dialogue on New Approaches for 2020 Event a. Suggestions • Mr. Dennis suggested the committee align with another City Board, such as the Recreation Board as this Board also conducts annual events and can help with planning this event. • Mr. Dennis suggested the committee take a step back and re-brand to plan for a 2020 event. Mr. Dennis also discussed hiring an event planner to help the committee and to start planning in February 2019. The committee can use the funds from the 2018 budget to plan for a 2020 event. • Ms. Wolley suggested to schedule another meeting for next week and ensure all members attend for further discussion and to vote on a final decision of proceeding with a 2019 event. • Ms. Sutton asked if Ms. Quinones can attend the next meeting or if the committee can ask her to report the stats on how social media helped with advertisement of the 2018 event. • Ms. Sutton asked Mr. Dennis if the Education Advisory Committee was contacted to help increase participation, based on the motion presented in the September meeting. The committee had more discussions on this and Ms. Fletcher asked Ms. Thompson to check the recording from the September 26, 2018 meeting to confirm the motion was correct. • Mr. Dennis asked the committee to seek new members to join the committee and to bring them forth to the City Council, so they can be appointed. VI. Adjournment Ms. Sutton adjourned the meeting at 8:02 p.m. VII. Next Scheduled 2018 Meetings October 25 November 15 December 20 2
