FINAL Minutes Dr. Martin Luther King, Jr. Tribute Committee Thursday, November 15, 2018 7:00 p.m. City Hall, Lower Level Conference Room Members Present Absent Lilla Sutton, Co-Chair X Anita Wolley, Co-chair X Dottie Chicquelo X Dorie Arbach X Jordan Schakner X Thelma Lomax, Honorary Member X Also Present Monroe Dennis, Councilmember District Two X Sharon Fletcher, Staff Liaison X Carleveva Thompson, Contract Secretary X I. Call to Order Ms. Sutton called the meeting to order at 7:02 p.m. II. Review and Approval of Agenda The committee reviewed the meeting agenda. Ms. Wolley motioned to approve the agenda as presented. Second by Ms. Chicquelo. All members were in favor; no opposed. III. Reading and Approval of 10/25/18 Meeting Minutes The committee reviewed the meeting minutes from the October 25, 2018. Ms. Wolley made a motion to approve the October meeting minutes with one correction. Second by Ms. Chicquelo. All members were in favor; no opposed. IV. January 12, 2019 MLK Event a. Confirmed for the 2019 event: i. Theme: Injustice Anywhere is a Threat to Justice Everywhere ii. Venue update: 2:00 – 3:30pm show time; 45-minute reception iii. Master of Ceremonies – Pastor Pugh iv. Baha’i Chorale v. Friends Community school – confirmed for music only. vi. SGI New Century Chorus 1 vii. Videographer – Jimmy is confirmed for the new date of 1/12/19 and Ms. Fletcher has provided him the contract. b. To Be Confirmed for the 2019 event i. Keynote Speaker – Sheriff High is available to be the keynote speaker for the 2019 event. Ms. Chicquelo made a motion to select Sheriff High as the keynote for the 2019 event. Second by Ms. Wolley. All members in favor; no opposed. ii. Chinese Bible Church Youth Ensemble – No response received. iii. Prayze Dancers – No discussion. iv. A’vante Cottoy – A’vante was not contacted for the 2019 event, but will be contacted for the 2020 event. v. Cover photo – The committee reviewed the selected photos of Dr. King. Ms. Wolley made a motion to select Photo #5 and use the lettering from photo #1. Second by Ms. Chicquelo. All members in favor; no opposed. vi. Identify Advertising Platforms: Eventbrite, Facebook, etc. – Ms. Fletcher informed the committee of printed advertisement cost with a range of $400 - $1,000 for 1 page of printed advertisement. Ms. Sutton would like to know the cost for online advertisement and to also include Twitter and Instagram as advertising platforms. There will also be advertisement on the public cable stations. Ms. Sutton would like to be informed on the status of the advertisement. vii. Production liason/guide performers: Mr. Shakner volunteered to be the stage manager for the 2019 event and help guide performers. V. Other Business i. Reception: The committee requests vegetables with hummus and plenty of chicken. ii. Water for performers: Mr. Dennis will ensure water is available for the performers. iii. Videos: Ms. Sutton will send the committee several educational videos for review. Two of the videos selected will be played during the program. Videos can also be played in the lobby. iv. Artwork from the school: Need to get artwork from the schools as soon as possible. v. Dancers: Ms. Fletcher has reached out to the Belly Dancers of Color Collective to see if they’re available for the 2019 event. vi. Women’s Federation for World Peace: Ms. Fletcher will check availability for the 2019 event. vii. Program: Need to include time for greeting from the Mayor and Reading of Proclamation. Ms. Fletcher will have the program drafted for review at the next meeting. 2 VI. Adjournment Ms. Wolley motioned to adjourn the meeting. Second by Ms. Chicquelo.
