I. Call to Order
Ms. Sutton called the meeting to order at 7:06 p.m.
II. Review and Approval of Agenda
The committee reviewed the meeting agenda. Ms. Wolley motioned to approve the
agenda as presented. Second by Mr. Schakner. All members were in favor; no
opposed.
III. Reading and Approval of 12/20/18 Meeting Minutes
The committee reviewed the meeting minutes from the December 20, 2018 meeting. Mr.
Schakner made a motion to approve the December meeting minutes as presented.
Second by Ms. Wolley. All members were in favor; no opposed.
IV. January 12, 2019 MLK Event
a. Participants confirmed and prepared for sound check:
▪ Sound check will be provided in order of participant arrival until 12:30 p.m.
▪ A rehearsal room will be available for participants.
b. Committee Member assignments:
▪ Mr. Dennis picked up the artwork from Hollywood elementary and will deliver to
the Clarice Smith on Saturday at 12:00 p.m.

▪ Mr. Dennis confirmed the bus for the Seniors is engaged and signs are posted at
Spellman House and Attic Towers. The bus will not go out in bad weather
because the driver is a part of the City’s snow crew.
▪ Mr. Schakner is the stage manager for the event. Ms. Fletcher will provide a
checklist for him to check off participants as they arrive.
▪ Ms. Fletcher will pick up water for the event.
▪ Mr. Dennis contacted Sheriff High and confirmed Sheriff High is aware of the
theme and will relate the theme to his personal experiences with Dr. King and
Nelson Mandela.
c. Plaque and Certificate distribution:
▪ Plaques will be presented to Pastor Pugh and Sheriff High. The remaining
participants will be presented with certificates.
V. Other Business
▪ The food has been ordered and the reception will be buffet.
▪ Attendance numbers as of Monday are still under 100.
▪ Ms. Fletcher was contacted by the Pentagon and the Military Gazette regarding
the event and will be in attendance.
▪ Additions were made to the Proclamation and the final version is on the printed
program.
▪ It was suggested to add to the MC’s script a statement to please stand and join in
for the Lift Every Voice and Sing video played at the end of the program.
VI. Next Meeting Dates: 7:00 p.m.
Ms. Fletcher may have a conflict with the scheduled meeting on January 17th, but will
confirm with the committee. Ms. Wolley made a motion to keep the next meeting
date as January 17th. Second by Mr. Schakner. All members in favor; no opposed.
The next meeting will be held on Thursday January 17, 2019.
VII. Adjournment
Ms. Sutton motioned to adjourn the meeting. Second by Mr. Schakner. The meeting
adjourned at 7:55 p.m.
