Communications Coordinator and New Event Coordinator Councilmember Dennis introduced Ms. Ryna Quinones and Ms. Gaby Wurtzel to the committee. Ms. Quinones is the communications coordinator for the City of College Park and Ms. Wurtzel has been recently hired as the Event Coordinator for the City of College Park. Both were attending the meeting to inquire what assistance they could offer to the committee to help ensure a successful event in January 2020. Briefly reviewed survey results from the 2019 event. With minimal responses, it was hard to determine any concrete information. It was suggested for the January 2020 event that 1 surveys should be done directly at the event or very shortly thereafter the event. In order to capture the most responses, the survey should be short, perhaps 3-4 questions. It could be inserted into the programs as people are entering for the event and a box at the exit for the completed surveys. There is also the possibility of using a tablet and having people complete electronically. If the committee chooses to do the survey after the event, it would be posted on social media: Facebook, Twitter, NextDoor, Municipal Scene, Weekly Bulletin, College Park website, etc. People must be connected to the City of College Park on the various social media pages in order to see the survey and be able to participate. V. 2020 event reviewed a. Venue The Dance Theatre is confirmed for Saturday January 11, 2020. There will be a walk through on October 8 at 4:00pm. b. Posting of Event Ms. Quinones again stated that the event would be posted on social media: Facebook, Twitter, NextDoor, Municipal Scene, Weekly Bulletin, College Park website, etc. c. Responses Congressman Thompson is not able to attend the event. Ms. Quinones stated that she has a contact with a Rabbi and will ask if he may be available to attend the event. d. Program The program is scheduled from 2:00pm-3:30pm. There was a discussion on potentially considering an earlier or later time frame. Ms. Fletcher stated that before a time change could be considered, the venue would have to be contacted for availability. Ms. Chicquelo motioned to keep the 2:00pm-3:30pm time frame for the 2020 event. Ms. Wolley seconded. Motion carries 3-0-0. Discussed potential performances: Mayor Wojahn will read the Proclamation from the City of College Park. Panel Discussion with four panelists [young person, middle school person, high school person and college person]; will need printed questions for the moderator (will take the place of a keynote speaker). Open mike for questions and answers. Video on Dr. King will be shown. Possibly two choirs and one dance group will perform. Ms. Quinones asked the committee to be cognizant of the songs chosen to not be religious. As a city event, all protocol must be followed to not upset any one group of people. Plans need to be confirmed to educate and entertain youth attending the event; it was suggested that the committee might reach out to the College Park Arts Exchange for ideas and suggestions. 2 e. Other Business Ms. Chicquelo inquired about inviting seniors from other localities. Councilmember Dennis stated that anyone can certainly be invited, but the City of College Park cannot provide transportation outside of College Park. Suggestions for questions to ask of the panel can be submitted to Ms. Fletcher via email. Committee would like hard copy flyers for distribution, especially to hand out to other senior committee and programs. VI. Adjournment Ms. Wolley made a motion to adjourn the meeting. Ms. Chicquelo seconded. Motion carries 3-0-0. Ms. Sutton adjourned the meeting at 8:31 p.m. Respectfully submitted by Sheryl DeWalt, contract secretary 3
