I. Call to Order
The meeting was called to order at 7:30 p.m.
II. Review and Approval of Agenda
Ms. Wolley motioned to approve the agenda as presented. Second by Mr. Schakner.
All members were in favor; no opposed.
III. Reading of 11/13/19 Meeting Minutes
The Committee reviewed the meeting minutes from the November 13, 2019 meeting.
Ms. Wolley motioned to approve the November meeting minutes as presented.
Second by Mr. Schakner. All members were in favor; no opposed.
IV. 2020 Event Planning
a. Run of Show Production Assistant – Erin Taylor
Ms. Wurtzel stated that she and Ms. Fletcher met with Ms. Taylor. Ms. Taylor will be
responsible for scheduling the soundtrack, ensuring performers are in order,
coordinating with the Clarice staff and helping with anything that is needed for the
event.

MC closing comments
Each group will have 8 minutes to perform. The piano at the Clarice was tuned today.
The Clarice has requested that any pre-recorded music be provided to them by January
6th. Please encourage people to arrive early since this is the first time the event will be
held at the Dance Theatre. The Videographer is confirmed. There is no artwork to
present and the mezzanine area will be used to collect non-perishable items. The
Committee will provide certificates to event performers after the event.
b. Committee Member Assignments - All Committee Members should be available to
greet dignitaries and attendees as they enter the theatre. All Committee Members
should arrive no later than 12:00 p.m. Ms. Fletcher requested Ms. Wurtzel to provide
City tablecloths and signage for the day of the event.
c. Review Draft Proclamation – Edits were made to the draft Proclamation. Mr.
Shackner motioned to approve the amended Proclamation. Second by Ms. Wolley.
All members in favor; no opposed.
d. Panelists Confirmations - 1 panelist confirmed, a senior student at College Park
Academy. Each panelist will speak to the theme.
e. Master of Ceremonies Confirmation – Ms. Chicquelo accepted the role of MC.
f. Advertising Report – The event has been advertised since October on social media
sites such as, Facebook, Instagram, Twitter, Nextdoor, the City’s weekly bulletin and
the Municipal Scene. The event was also be posted to local event calendars such as
Eventbrite, The Washington Post, Route 1 Fun, Hyattsville Wire, Hyattsville Life and
Times, PG Sentinel, Visit Maryland, Maryland Milestones, Beltsville News, Berwyn
Newsletter, and Greenbelt News Review. Flyers will be printed and provided to the
Seniors Community Center and local City churches.
V. Other Business
The Clarice has requested to have the 2021 event date by March 2020.
VI. Adjournment
Ms. Wolley made a motion to adjourn the meeting. Second by Mr. Schakner. The
meeting adjourned at 8:09 p.m.
