City of College Park Recreation Board Meeting December 3, 2018 6:00 p.m. College Park Community Center (CPCC) 5051 Pierce Avenue Final Minutes Members Present Absent 1. Sarah Araghi (Jazs) X 2. Call to Order Meeting was called to order at 6:01 p.m. II. Review and Approval of Agenda Mrs. Hopkins moved to add discussion about Stay-cations at a local hotel to the agenda. Ms. Pianowski seconded the motion. All were in favor. The motion passed 8-0-0. III. Board Treasury Report – November 2018 - Balance $1,698.05 The board discussed closing the current banking account and alternate purchasing options: a. Use of a reloadable gift card to purchase items for events b. Shopping locally c. Transferring the account to a different Recreation Board member d. Conferring with the city accountant for additional guidance Mrs. Toy motioned to defer the matter for further discussion until the costs research has been completed meeting. Mrs. Pianowski seconded the motion. All were in favor. The motion passed 8-0-0. IV. Review and Approval of September 10, 2018 and November 5, 2018 Minutes Ms. Oarr motioned to approve the September 10, 2018 minutes, correcting the omission of Mr. Ryan’s name on item VI, g. Mrs. Toy seconded the motion. All were in favor. The motion passed 8-0-0. Mrs. Toy motioned to approve the November 5, 2018 minutes as written. Mrs. Hopkins seconded the motion. All were in favor. The motion passed 8-0-0. V. Recreation Facility Use Requests, if any There are currently no Facility Use Requests VI. Citywide Events Reports and Planning: a. Blues Festival at Ritchie Coliseum – 11/10/18 • Ms. Araghi provided a recap of the attendance summary of attendees for the CPBF 2018 • Attendance tracking forms, 116 were completed • Potential dates and themes for the CPBF 2019 a. Breakfast with Santa-12/15/18 The board discussed logistics including: • Health and safety contingencies -Parks and Rec staff members will provide first aid, manage sickness and potential instances of vomit, and maintaining general cleaning. Mrs. Reardon also noted that there is an AED on site, staff members are trained to use it. • Schedule of events for the day • Rotating groups of participants to activities: breakfast, art, laser show, and photos with Santa in the Multi-Purpose Room -Recreation Board Members will monitor photos with Santa in an effort to prevent extensive delays for photos • Event Players: o Mr. Michael Canavan will play Santa -The board discussed Compensation for Santa -Mrs. Reardon has a Santa Suit reserved, not including boots o Mrs. Oarr will play Mrs. Clause o Mrs. Greene will be the elf, arrive onsite to assist with the event set up • Event Tasks: o Mrs. Bernache-Crocker will create signage for the activities o Mrs. Toy and Mr. Shelia will Coordinate shopping efforts o Mrs. Toy will bring food items to the Community Center on Food purchase on 12.14.18 o The amount of food purchased will increase by approximately 25% o Mrs. Greene will order supplies for goodie bags according to projected attendance numbers (below) o DPW will deliver goodie bags on 12.14.18 • Current event attendance estimates: o (31) Facebook users confirmed o (175) Facebook users Interested in attending o (109) registered attendees on Eventbrite • Mrs. Toy will maintain attendance count during the event • Mrs. Toy will provide a photo backdrop and stand • Santa’s mode of transportation- pending Mrs. Toy will inquire about the use of an antique firetruck, Mr. Ryan will contact the College Park Volunteer Fire Department as an alternate. Ms. McCloud motioned to offer $150.00 to compensate Mr. Canavan to play Santa. Mrs. Pianowski seconded the motion. All were in favor. The motion passed 8-0-0. b. Bowling Event-1/27/2018 The board discussed: • Event logistics- previously confirmed • Attendance cap, limiting the event to 100 participants pending approval from the Bowling Alley management c. Parents Night out- Friday, February 15, 2019, 6:00 -10:00 pm Ages 6-12 $6 or free to College Park Recreation Center members • Mrs. Reardon noted that membership would allow participation to be free of charge • The board discussed subsidizing costs for participants • Ms. Fletcher will submit a Community Connect request to reserve a space for the event • Maximum number of participants Mrs. Toy motioned to sponsor the costs for 25 participants. Ms. McCloud seconded the motion. All were in favor. The motion passed 8-0-0. d. StayCation- Hotel The board briefly discussed the idea of hosting a stay-cation event at a local hotel. Mrs. Bernache-Crocker motioned to postpone the discussion until the next meeting. Ms. McCloud seconded the motion. All were in favor. The motion passed 8-0-0. VII. Next Meeting: Monday, January 7, 2019 VIII. Adjournment Ms. Oarr motioned to adjourn the meeting. Ms. McCloud seconded the motion. All were in favor. The motion passed 8-0-0. The meeting adjourned at 7:23pm
