Columbus Area Aquatic Center Advisory Board Meeting Wednesday, April 10, 2019 Community Center 6:30 pm 1. Call to Order at 6:32 pm 2. Quorum determined-Present: Amy Jo Meyers, Kane Browskowski, Marcie Bindl, Ali Simyab, Martha Rule, Mayor Thom & Trina Reed. Absent-Julie Berget 3. Meeting and Agenda were posted 4. Bindl approved agenda, Mayor Thom 2nd 5. Mayor Thom approved minutes, Simyab 2nd 6. No citizen comments or communications 7. Old Business a. Mini Triathlon i. Reviewed & Approved poster for 6/22 event. Discussed Minimum of 25 for it to be a go. If small numbers, can combine age groups. ii. Meyers will add to Peach Jar, Active Net & Columbus Commotion b. 2019 Brochure i. Browskowski brought proof for board to review. Still in the process of adding more pictures and additional info. Board approved direction of current proof. Discussion of upcoming events that will be in brochure also discussed. 1. During first event, May 23rd open house, community can do a walk thru, buy memberships. Good for new employee training. Meyers also indicated that additional music nights will occur randomly throughout pool season. 2. Opening and Closing dates discussed. Manager Browskowski will make call depending on weather. Possibly open Memorial Day weekend, but not advertising it on brochure. Also, possibly will be closed Monday- Friday of August 25th week. Some staff heading back to college along with St. Jerome & Zion back in session already and typically not large attendance due to weather. Would be open that weekend with closing date of September 2nd. 3. Brochure winners notified by Meyers. 4. Individuals that submitted pictures that will not be included in brochure, will have their pictures included in a memory board that will be displayed at CAAC. c. Staffing Updates i. Meyers & Browskowski holding Interviews this coming Sunday and next Saturday. ii. Lots of returning employees. 1. If employee had no or minimal warnings or write ups from last pool season, they still must re-apply, but don’t have to go through interview process. 2. If employee had a lot of warnings or negative marks, must re-apply & go through interview process again. iii. Age limit is 14 for front desk & 16 to be a life guard (CAAC standard) d. Credit Card Fees i. Discussed what convenience fee would be charged for credit or debit card transactions done at pool. This is done as Active Net charges a fee to process payments, so these fees need to be re-couped. These fees will only apply to admission or lesson transactions. This does not apply to purchases at the concessions area. Rule made a motion to approve the following charges as presented by Meyers & Browskowski. Simyab seconded. Reed – Nay. Motioned passed with majority for the following: 1. $0-$50 – $0.00 convenience fee 2. $51-$100 - $2.00 convenience fee 3. $101-$150- $4.00 convenience fee 4. $151-$200 - $6.00 convenience fee 5. $201 + - $8.00 convenience fee 8. New Business a. Tablets vs. Desktops at CAAC i. Four New Desktops will be coming to pool this year. Discussion about switching to tablets was brought up at last meeting. (for future vs. continually purchasing desktops) ii. Meyers looked into it and found that it would not work with the current Active Net system the Recreation Dept & CAAC uses–Active Network- is Internet Explorer based. 1. A new program like Civic Rec+ could help. b. Active Net transition to Civic Rec+ i. Meyers may start discussion with city to consider transitioning to Civic Rec+ from Active Net. 1. City Hall uses Civic already. Consistency could be a plus. 2. Additional portals and capabilities including ability to send reminders to recreation department about payments rec’d, reminders to customers about possible conflicts with program registration amongst the few positives of the new program. Registration apps on phone would be possible as well. Updating process & procedures to move with the times. 3. Main consideration would be an approximate $7000 up-front implementation fee. 4. Yearly base fee after implementation would be approximately $3600, similar to the current Active Net fee. c. Current Memberships & Lessons Sales i. To date the following have been sold 1. 44 Family Memberships 2. 2 Couple Memberships 3. 4 individual Memberships 4. 2500 in Swim lesson enrollments 5. Equals approximately $12,700 total sales 9. New Meeting Date – Wednesday, May 22, 2019 @ 6:30 CAAC 10. Motion to Adjourn by Simyab, 2nd by Mayor Thom. Approved a. Adjourned @7:23pm
