Fanny Chapman Pool Board of Managers Minutes of the Meeting October 28, 2024 Attending: Alan Krach, Rob Purdy, Lori Howard, Mike Petrakis and Rebecca Masters. Also present were Pool Manager Drew Sterner and Borough Liaison Caroline Brinker Absent: Brian Lange, Amy Parenti, David Ricci Also in attendance was Sherry Petrakis, Swim and Dive Team and Student Member James Shandlay The meeting was called to order at 7:00P.M. by Rob. Approval of the Minutes The minutes of the September 23, 2024 meeting were reviewed. Lori made a motion to approve the minutes, the motion was seconded by Becki, and the minutes were unanimously approved. Finance – Brian, Alan & Rob The Board reviewed invoices totaling $16,480.34. Alan reported the invoices paid were routine expenditures and budgeted costs. He noted the payment of $11,500 representing the 50% deposit to Big Cat Contracting for the main sewer line replacement project. The bid came in at $23,000 and did not require a public bidding process. Al also noted the donation to the CB East Athletic Hall of Fame in memory of Ed Walsh. Al made a motion to approve payment of the invoices, the motion was seconded by Mike, and the motion to approve payment of the invoices was unanimously approved. Caroline reported that as of October 24th, year to date revenue was $722,000 compared to a budget of $635,000, 113% of budget. Expenses are 83% of the annual $635,600 budget year to date, reflecting a net surplus of $195,388 at this time. Per policy, any amount over $100,000 will be transferred to the reserve fund. 2025 Preliminary Budget Caroline prepared two budget scenarios, one with no fee increase and one with increases applied to the family, individual and couple membership categories per the Board request. Family membership costs would increase to $475 early registration/$510 regular registration, Individuals increase to $250 and Couples to $360. The Board requested no increases be applied to swim lessons or guest fees. The budget reflects a 3% increase applied to the salary positions, and the average assistant manager rates were increased from $13.50 to $14.50 per hour. The average guard and instructor salary rates were increased from $10.40 to $11.50 per hour. A 3% increase was applied to all coach positions and the meet coordinator. About $2,000 was added to the coaching staff budget to provide flexibility to award additional increases if needed for a total of $45,000. Caroline reported the budget also includes a $200,000 amount for the new pool floor to be covered by the Reserve Fund. The Board unanimously selected the 2025 Budget with the fee increases included. Rob asked Drew if he anticipates any hiring difficulties in 2025. Drew stated it is difficult to hold the adult positions. Mike cited coaches that are or may not come back next season. Sherry suggested attaining feedback from staff by way of exit interviews. Becki suggested that staff be told upon hiring that their season feedback will be asked for. The Board agreed to continue this discussion in the future. It was asked if wages had been included for the approximate 60 hours of swim and dive team data entry at the beginning of the season. Mike offered that the position of meet coordinator be changed to a volunteer position to provide about $2,300 to cover the wages needed for the data entry. Al requested a separate expense line item for the 100th anniversary. Caroline reported that about $5,000 was included in the current budget. It was asked that the amount be increased to $10,000 to cover potential deposits for the tile works and video development in addition to continued marketing costs. The 2025 capital purchase detailed list was review. Drew asked that $3,000 be added for new computer equipment. The Board requested the 2025 Budget with the fee increases move forward with the following adjustments: A separate $10,000 100th Anniversary expense line be created, the addition of $3,000 for computer equipment be added to the capital budget, the meet coordinator be removed as a paid position and be a volunteer position in 2025. Caroline will make these adjustments. Operations – Alan & Rob Alan said there was nothing to report, the pool area is closed for the season. Drew said everything is being winterized. Programs – Lori & Becki Lori and Becki had nothing to report. Personnel – Rob and Lori Becki offered to provide recommended edited versions of the job descriptions that Rob provided for review by the next meeting. Publicity/Marketing – Amy & Dave Amy and Dave communicated there was nothing to report. Long Range Planning – Alan Alan said he will meet with Brian and Mike to update the long term wish list Membership Rules –Becki Becki had nothing to report. 100th Anniversary Celebration – Rob, Amy, Becki & Alan Rob said the committee is meeting in November and updates will be provided at the November Board meeting. Pool Manager’s Report – Drew Drew presented a detailed Pool Manager’s report. He noted the hourly rate increases for the instructors and guards had been included in the 2025 budget. The off season work is in progress and is expected to be mostly completed by the end of the year. Drew said that he will be in contact with additional contractors to provide options/ideas for the replacement of the main pool floor project, and to get a better of idea of the scope of the project and what needs to be done. Swim Team Parents’ Report The Parent Board Highlights of the recent Parents Board meeting were provided in the Board packet. Sherry said the main topic for discussion was the 2025 schedule which was included in the packet. There will be (3) home meets next year and we will be an alternate to host C Champs. Sherry asked if the Board would consider moving Fanny Fest to a Friday night. Drew said he believes a Friday night event will work and that will keep Sunday open for the members. Rob recommended that Board members attend a Parent Board meeting in 2025 to gain insight to that board process. Correspondence – Caroline said the Board is being asked to consider moving the scheduled September 22,, 2025 Board meeting to September 29th as the 22nd is the Rosh Hashanah holiday. The Board agreed to move the meeting to the 29th. Old/New Business – James commented that although most Fanny Chapman staff continue to work at the pool due to the community and friendships formed, he said the proposed pay rate increases will help retain the staff. He said most did not choose other positions with higher hourly rates but the gap had grown and these rate increases will be appreciated. Adjournment - at 7:50 pm, the meeting was adjourned to Executive Session to discuss Personnel. The meeting will not reconvene as there is not an expected motion following Executive Session.
