Founders Day Commission Meeting Minutes April 08, 2019 at 6:30 p.m. A Regular Meeting of the Founders Day Commission of Dripping Springs, Texas was held Monday, April 08, 2019 beginning at 6:30 p.m., in the Council Chambers located at City Hall, 511 Mercer Street, Dripping Springs, Texas. I. CALL TO ORDER AND ROLL CALL Commission Members present were: Brenda Medcalf, Chair Jake Adams, Vice Chair Stephanie Holtzendorf, Secretary Brian Daniel Sharon Goss Michael Monaghan Paul Sanchez Darrel Debish Brian Varnell Christ Nuccio Commission Members absent were: Chris Nuccio Brad Thomas City Staff/Appointed Officials present were: Mariana Espinoza, Parks & Community Services Director With a quorum of the Commission present, Chair Medcalf called the meeting to order at 6:35 p.m. II. MINUTES A. Discuss and Consider Approval of the Regular Meeting Minutes of March 25, 2019. • February 25, 2019 meeting minutes were approved at March 11, 2019 meeting. • Minutes reviewed by commissioners. • Jake made a motion to accept the minutes. Mike seconded. Minutes accepted. III. BUSINESS A. Discuss and consider approval of forms related to the adopted Vendor Guideline Policy. • Motion made by Paul to table until the wrap up meeting. Next year we can make all vendors aware of the new policy. Darrell seconded. Motion passed. IV. STANDING COMMITTEE REPORTS The following updates relate to the administration of the 2019 Founders Day Festival. No action to be taken. A. Site Plan Committee Founders Day Commission April 8, 2019 Regular Meeting Minutes Page 1 of 3  Michael Monaghan and Brenda Medcalf • Rural Home and the Real Estate Office will have spaces and the Cook off moved 2 of their spaces to make room. B. Entertainment Committee Brad Thomas • No report. C. Food Committee • Must have fire extinguisher to be checked in. D. Arts & Crafts Committee Michael Monaghan • 10 open spaces for emergencies. Mike will let all those go tomorrow (04/09). • There are 18 on the waiting list. E. Parade Committee Brenda Medcalf and Stephanie Holtzendorf • 95 entries F. Publicity Committee Bonnie Gonzalez • Need to put out information on social media regarding the carnival tickets and parking. • $40/sheet and $18 for wrist band on Sunday for carnival. G. Sanitation Committee Paul Sanchez and Brian Daniel • Alley beside DS outfitters will have port-a-potties. • Port- a potties will be delivered Wednesday night. • Craig needs to make sure field beside Stephenson building is mowed. • Jar B wants to do advertising on radio in Marble Falls. • Street sweeper will be coming in early Monday morning H. Sponsorship and Underwriting Committee Mariana Espinoza, Sharon Goss, Brenda Medcalf, Brian Daniel and Jake Adams • Committee did an outstanding job bringing in sponsors. • $57,250 with sponsors still coming in. • Main stage sponsored by Locktite. • Parade sponsor – Legacy/Seton • Logo Sponsor – Texas Regional Bank • Live stream of parade w/DVD for sponsors. • Need to determine if there is budget to cover the cost. • Window stickers for each sponsor to put in their window at their place of business to show they are a FD sponsor. Security Committee Founders Day Commission April 8, 2019 Regular Meeting Minutes Page 2 of 3  Darrell Debish and Brenda Medcalf • Gatekeeper security – 2 extra • Viking fence will stage at intermediate school, so they can follow behind parade to pick up bike racks. • Hays Count sent invoice to City – staffed for Founders Day. J. Traffic and Parking Darrell Debish and Brenda Medcalf • Traffic flow will be the same as last year. • Parking passes and schedules will be given next week. • Need to determine where Mercer Street merchants will park. V. UPCOMING MEETINGS A. Founders Day Commission: • April 20, 2019 – Set up Fencing around Festival Area 8:00 am • April 20, 2019 - Regular Meeting VI. ADJOURN • Mike made a motion to adjourn.
