Founders Day Commission Regular Meeting Minutes February 24, 2020 at 6:30 p.m. A Regular Meeting of the Founders Day Commission of Dripping Springs, Texas was held Monday, February 24, 2020 beginning at 6:30 p.m., in the Council Chambers located at City Hall, 511 Mercer Street, Dripping Springs, Texas. I. CALL TO ORDER AND ROLL CALL Commission Members present were: Brenda Medcalf, Chair Darrell Debish, Interim Vice Chair Brian Daniel Martin Garza Sharon Goss Michael Monaghan Brian Varnell Susan Warwick Dee Marsh Jeff Shindler Commission Members absent were: Clinton Holtzendorf Brad Thomas City Staff/Appointed Officials present were: Events & Programs Specialist Maggie Martin Communications Coordinator Lisa Sullivan With a quorum of the Commission present, Chair Medcalf called the meeting to order at 6:34 p.m. A motion was made by Commissioner Garza to approve a leave of absence from the February 10, 2020 Founders Day Commissioners Regular Meeting for Commissioners Daniel, Debish and Thomas. Commissioner Marsh seconded the motion which carried 7 to 2, with Commissioners Daniel and Debish abstaining. A motion was made by Commissioner Garza to approve a leave of absence from the February 24, 2020 Founders Day Commissioners Regular Meeting for Commissioners Holtzendorf and Thomas. Commissioner Debish seconded the motion which carried unanimously 9 to 0. II. MINUTES A. Discuss and consider approval of the February 10, 2020 Founders Day Commission Regular Meeting Minutes. Commissioner Garza seconded the motion which carried unanimously 9 to 0. III. STANDING COMMITTEE REPORTS The following updates relate to the administration of the 2020 Founders Day Festival. No action to be taken. A. Site Plan Committee Michael Monaghan and Brenda Medcalf • No changes in site plan • Commissioner Shindler is updating the map B. Entertainment Committee Brad Thomas and Brian Daniel • Working on final line-up and contracts • City Attorney needs to get the parking lot contract signed C. Carnival & Food Committee Sharon Goss and Susan Warwick • Carnival tickets go on sale approximately two weeks prior to the event D. Arts & Crafts Committee Michael Monaghan • Reserved Booths: 130 returning vendors and 53 new vendors • 30 booths remain with some of these designated for sponsors E. Parade Committee Brenda Medcalf and Clint Holtzendorf • Information on theme, rules and fee will be posted • Applications will be available on Tuesday, March 3 F. Publicity Committee Brenda Medcalf, Jake Adams, Clint Holtzendorf, Brian Daniel, and Maggie Martin and Lisa Sullivan • Commissioner Daniel attended DS Chamber luncheon to talk with potential sponsors G. Sanitation Committee Martin Garza • The contract with JBar for sanitation services for the event is with the city attorney Founders Day Commission February 24, 2020 Regular Meeting Minutes Page 2 of 3  H. Sponsorship & Underwriting Committee Jake Adams, Darrell Debish, Brian Daniel, Dee Marsh and Maggie Martin • Committee members are continuing to find sponsorships I. Security Committee Brenda Medcalf and Darrell Debish • No updates J. Volunteer Committee Maggie Martin • No updates K. Traffic & Parking Committee Brenda Medcalf and Darrell Debish • Further discussions on shuttles, Uber, Lyft and the drop-off area. The Commission is considering hiring a professional shuttle service on Saturday of the event with the possibility of the Cook-off Club, Lions Club, St. Martin de Porres and the City of DS sharing the cost. ADJOURN A motion was made by Commissioner Garza to adjourn the meeting. Commissioner Debish seconded the motion which carried unanimously 9 to 0.
