Jason Heinz motioned to accept the minutes and Brent Schmitten seconded the motion. Motion carried (4-0). Financials The financial documents were reviewed. Event Update Pangborn’s Festival of Flight was on July 8, and it was a great success. The recap flyer was reviewed. Havana Nights was on August 12, 2023, and it was also a great success. The recap flyer was reviewed. The Swap Meet is scheduled for September 8-10 at Eastmont Community Park’s 4Plex. The event flyer was reviewed. Tourism Spirit of Wenatchee – Miss Veedol Grants The Spirit of Wenatchee is requesting $6,000 to help maintain Miss Veedol and fly her during East Wenatchee events throughout 2024. Jake Lodato talked about his application and answered questions. Brent Schmitten motioned to approve the Spirit of Wenatchee’s Grant Application in the amount of $6,000 to help maintain Miss Veedol, fly her during East Wenatchee events, promote East Wenatchee at fly-ins and offer hangar tours throughout 2024. Jason Heinz seconded the motion. Motion carried (4-0). The Wenatchee Valley Super Oval submitted their Post Event Report, the report was reviewed. The Wenatchee Valley Youth FC had not submitted their Post Event Report in time for this meeting. Teams stayed at Cedars Inn, Fairfield, Holiday Inn Express, Red Lion, AVID, Quality Inn, Springhill Suites, Comfort Inn. From what we could determine there were 12 teams in part/whole that stayed in East Wenatchee, 2 teams stayed in Leavenworth and others pulled trailers, camped, stayed with friends/family or found lodging in Wenatchee. Unfortunately, no out of state or Canadian teams this time due to the short notice. However, we already have assurances from several Clubs that they will be attending our tournament in force next year. Page 5 of 5 Tournament Summary Report On behalf of soccer and Wenatchee FC Youth, I’d like to thank the Tourism Board and the City Council of East Wenatchee for their generous support of Apple Cup 2023. Introduc�on Apple Cup 2023 took place the weekend of August 4-6, 2023. The event was hosted by Wenatchee FC Youth, a compe��ve soccer club in the Wenatchee Valley that serves aspiring players from 4-19 years of age. Venues u�lized in East Wenatchee for the event were 9th Street fields, Eastmont Junior High, and Sterling Middle School. Venues u�lized in Wenatchee were Triangle Park, Apple Bowl and Foothills Middle School. East Wenatchee venues were prepped by both the ESD Maintenance Department and a small army of volunteers from Wenatchee FC Youth. Each of the venues served the tournament well with the bulk of the games being played at 9th Street which had two full sized fields. WFC Youth volunteers lined the fields, set up goals, and modified fencing to prevent damage to private property. ESD maintenance worked with us to mow and monitor irriga�on of the fields. Overall atendance for the tournament is es�mated at approximately 2,900 players, coaches, family and friends. Calculated by an average travel number per team of 34 people. A�er having a litle �me to consider the success of the event, we believe it to be a strong restart of what had previously been a Fall event that was discon�nued in 2018. With an extremely �ght �meline and short promo�on window, we were able to rally 86 teams to par�cipate in Apple Cup 2023. Fi�y percent of the teams travelled over 50 miles to par�cipate in the event. Several other teams from Lake Chelan, Ellensburg, Quincy and Ephrata chose to drive back and forth to the event for economic and lack of room availability a�er they registered late for the tournament. A�er checking with our hotel sponsors, we were able to verify that they were in fact sold out that weekend. That didn’t prevent commuters from frequen�ng our plethora of coffee houses and ea�ng establishments over the course of the weekend. Organiza�onal Structure Opera�onally, the tournament itself ran smoothly with games star�ng on �me and adequate numbers of volunteers located at each venue to ensure opera�onal success. The one hiccup being addressed for future events is traffic flow at the 9th Street fields. Traffic flow and addi�onal parking signs, as well as a team of traffic and parking atendants need to be on hand to ease the transi�onal pressure at that site. The administra�ve team that organized and facilitated the marke�ng and management of the event did an outstanding job – Gary & Kris�n Heale, Alicia & Cale Turner, Mike & Lisa Bull, Jeremy Anders and Alex Cruz were the primary contributors. Parent and player volunteers worked a ton of hours se�ng up and tearing down venues, overseeing team check in, garbage pick up and removal, concessions and hospitality over the course of the weekend. Addi�onal areas of improvement for future events include: • Early promo�on statewide (January/February) • Sponsorship sales begin in January with proposals to major sponsors star�ng in October 2023. • Iden�fying a volunteer or hire a photojournalist for the event • Defined job descrip�ons & direc�ons for volunteers at each venue • A detailed digital marke�ng and execu�on strategy Event Delivery Review Although the total number of teams was below what we were hoping for with the reboot of the tournament, Apple Cup 2023 was successful on many fronts: • The re-establishment of a long running tournament during a �me of year that fits beter with the overall statewide compe��ve soccer calendar. • Crea�ng NW Regional awareness in the soccer community for future events • Mobiliza�on of the Club’s volunteer base to organize and administrate a large scale event over mul�ple venues. • Rallying local business and corporate support for the event • Raising much-needed funds to help subsidize the cost of playing compe��ve soccer for players who wouldn’t otherwise be able to play. (Please see photos from the event in the email atachment) Marke�ng & Promo�on Analysis Website event pos�ng and broadcast emails were sent to all Clubs statewide through wplsoccer.com as well as washingtonyouthsoccer.org. Tournament registra�on was handled by a link from wfcyouth.net to elitesoccerclubs.com KW3’s radio personality John Connor, hosted an interview with Neil Oyston, WFC Youth Director of Coaching, to talk about the tournament, growth of the Club and recent player and team accomplishments. Social media blasts were sent out frequently from the Club’s Facebook page and on Instagram. Reimbursement only occurs after the service is rendered and after I submit a signed Request for Reimbursement form to the City of East Wenatchee. I will include copies of invoices and payment documentation with the Request.
