EL RENO CONVENTION AND VISITORS BUREAU BOARD REGULAR MEETING Thursday – September 19, 2024 – 10:00 A.M. CITY OF EL RENO COUNCIL CHAMBERS 101 N CHOCTAW AVE. – EL RENO, OKLAHOMA The City of El Reno encourages participation from all its citizens. If participation at any public meeting is not possible due to a disability, notification to the City Clerk at (405) 262-4070 at least 48 hours prior to the scheduled meeting is encouraged to make the necessary accommodations. MINUTES A. CALL MEETING TO ORDER The meeting was called to order at 10:09am B. ROLL CALL Present: Vicki Proctor, Brooke Roberston, David Black, Sarah Ward Absent: Mike Freeman, Carlee Jones C. CONSENT AGENDA: The following items are considered to be routine by the El Reno Convention and Visitors Bureau Board and will be enacted with one motion. Should discussion be desired on any item, that item will be removed from the Consent Agenda and considered separately. 1. Approval of the Minutes of the El Reno Convention and Visitors Bureau Board Special meeting of Thursday, August 15, 2024. Brooke Roberston, MOTIONED, SECONDED by David Black, to approve the August 15, 2024, meeting minutes. Aye: Proctor, Robertson, Black, Ward Absent: Freeman, Jones Motion carried 4-0 with 2 absent. D. DISCUSSION ITEMS 1. Presentation from the Texas Longhorn Breeders Association of America regarding the City of El Reno Tourism Grant application. Pam Robinson with the Texas Longhorn Breeders’ Association spoke about their event being held at the Canadian County Expo Center The first weekend of October. 2. Discussion, consideration, action, and/or possible amendments regarding the City of El Reno Tourism Grant application from the Texas Longhorn Breeders Association of America. The board discussed ways events happening at the Expo Center could be advertised more to the El Reno community. The board would like to invite Mady Davis with the Canadian County Expo Center to begin attending the CVB meetings to share the calendar of events and look at other advertising opportunities between all parties. It was also discussed to start sending the applications to the board as they come in, before being placed on the agenda. David Black MOVED, SECONDED by Brooke Robertson to award $500 to the Texas Longhorn Breeders Association of America. Aye: Proctor, Robertson, Black, Ward Absent: Freeman, Jones Motion carried 4-0 with 2 absent. 3. Discussion, consideration, action, and/or possible amendments regarding updates to the City of El Reno Tourism Grant application. One change needed to be made regarding the wording about advertising to include locally and nationally. 4. Discussion, consideration, action, and/or possible amendments regarding placing advertisements in various outlets. The board was shown billboard designs to be placed on the city’s billboards along I-40 near the public safety center. The board was shown an ad that run the Route 66 Travel Guide. E. REPORTS 1.
