Meeting Minutes
JULY 2, 2018

Members Present: Lynn Love, Harelda Anderson, Diana Kinney, Sherrie Chenault, Larry Moore, Pat Gross
and Patrick Manchester

Staff Present: Julie Baird, Ass’t City Manager and Joanna Oliver, Secretary

CALL TO ORDER
Chairman Lynn Love called the meeting to order at 4:00 pm with a quorum of members present the following
procedures were duly had and taken. He welcomed the new Commissioners and went over the basics of the
Community Relations Commission with them.
APPROVAL OF MINUTES
Patrick Manchester made a motion to approve the May 7, 2018 minutes. Pat Gross seconded. Motion
carried.
DOWNTOWN SPACE
Lynn Love reminded the Commission that they have a space located in the Downtown Center to use to meet
outside of the scheduled meeting.
ANNUAL CONFERENCE OF NEIGHBORING CITIES
Lynn Love would like to put together a summit with the neighboring cities to introduce the Civility First
Program sometime next year. There was a lengthy discussion regarding where the Commission needs to start,
the goals of this event, and the concept of outreach and education. Suggestions were made to inviting the
Durango’s CRC to help present and maybe piggyback off of another event already scheduled.
NEW COMMISSION BUSINESS
Commission discussed and agreed upon to plan in their schedule up to 1.5 hours for the regular
meeting, if needed.
Julie Baird stated that she has been having discussions with the Mayor in regards to continuing the
Minority Issues Roundtable meetings. The Mayor is proposing a speakers series in partnership with the
Community Relations Commission. He is envisioning building on the Mayor’s Minority Round Table to
expand the audience and focus discussions on the Civility First traits with 3 to 4 speakers a year with
each event focusing on a single trait. These events would increase the exposure of the CRC and the
Civility First Program. The CRC would be assisted with the advertising and marketing plan through staff
support provided by Julie Baird and Shana Reeves. After a lengthy discussion, Julie stated that she
would like to have a few of the Commissioner’s meet with her to work on some ideas and a budget to
present at the next meeting. Diana Kinney, Pat Gross, Sherrie Chenault and Lynn Love volunteered.
Lynn Love discussed getting more posters made and also advertising on the back of the Red Apple
Buses. Julie stated that we could use all the forms of advertising talked about to correlate with the
Speaker’s Series advertising. Julie stated that discussion was held regarding the monies left over from
last year’s budget. Because of the “use or lose it” rule, the Mayor agreed to use his funds to add that
remaining budget, app. $5,000 from last year to the CRC’s budget for this year. Short discussionensued
regarding using the money on speakers.
OLD COMMISSION BUSINESS
Lynn Love asked that the new Commissioners to go by Advertising Ideas to order their CRC Polo shirts
that we wear at events.
There was a lengthy discussion regarding various Marketing Strategies.
GENERAL ANNOUNCEMENTS
Audra Winters from the COC asked if we could speak with the Redcoats at the Downtown Center from
12 to 1 on August 13, 2018.
The next CHAP meeting will be July 26, 2018 at the HQ Downtown.
Julie went over the old Grant Program for the new Commissioners and that we are now in the process
of streamlining it.
ADJOURNMENT
Meeting was adjourned at 5:36 p.m.
