COMMUNITY RELATIONS COMMISION Meeting Notes NOVEMBER 4, 2019 City Hall Members Present: Larry Moore, Cheri Floyd, Diana Kinney, and Pat Gross Members Absent: Sherrie Chenault and Lynn Love Staff Present: Julie Baird, Assistant City Manager and Georgette Allen, Public Affairs Administrator Guests Present: Isabel Montoya and Judy Cline CALL TO ORDER Chairman Larry Moore called the meeting to order at 4:04 p.m. without a quorum of members present. The agenda items were discussion with no action taken. APPROVAL OF MINUTES Chairman Larry Moore tabled the approval of the October minutes to the next regular meeting. MLK Isabel Montoya and Judy Cline addressed the Commission regarding the MLK Day of Service that will take place on January 20, 2020. They have a few confirmed projects for this coming year - Boys & Girls Club, New Beginnings, Four Winds and Masada House. Sponsors get their names on the T-Shirts that are handing out to all volunteers. They are looking at 300 volunteers this coming year. Each project has a project leader and they will tell us how many volunteers that they would need. Commissioners asked that they fill out the Sponsorship Application and get to us to discuss on the December meeting. NEW BUSINESS None COMMISSION BUSINESS  Banner Update – Julie Baird received the quotes for the banners. We have a total of 13 banner poles throughout the City - 6 on East Main, 2 on Bloomfield Hwy, and 5 on Broadway. She is looking at a pair – two side by side on the poles for a total of 6 banners. The quote received is $1,500 plus set up and artwork fee. The banners will be in a canvas fabric style that is more durable. She will have a mock up done to review at the December meeting.  2020 Civility Traits Selection – Julie asked that we go ahead and select the 4 traits for next year. Having one trait for each quarter starting in January. Larry Moore suggested Kindness, Respect, Compassion and Sincerity. The Commissioners were all in agreement.  Commissioner Assignments for 2020 Traits – Julie stated that we needed to select which Commissioner(s) would take the lead on each trait. There was a short discussion regarding the responsibilities of the lead Commissioners and it was decided on the following: Kindness – Lead Diana Kinney assisted by Larry Moore; Respect – Lead Pat Gross assisted by Cheri Floyd; Compassion – Lead Cheri Floyd assisted by Diana Kinney and Sincerity – Lead Lynn Love assisted by Sherrie Chenault. Georgette Allen suggested using Dropbox. Each Commissioner could have access where they could drop in any content whether it be articles, pictures, etc. that fits the quarterly trait for the Facebook page. Julie Baird asked the Commissioners to revisit the website from Owasso, Oklahoma for any added ideas. ADJOURNMENT Meeting was adjourned at 4:45 p.m.
