Meeting called to order at 4:30 p.m. In attendance: Chair Rodriguez, Vice Chair Roberson, Director Hoffman, and Secretary Braman. 2. Approval of Agenda: Vice Chair Roberson motioned to approve the Agenda. Seconded by Chair Rodriguez. Passed unanimously. 3. OLD BUSINESS A. Acceptance of the Minutes Chair Rodriguez motioned to accept the minutes from September 11 and September 28, meeting with date change for the 28th. Vice Chair Roberson seconded. Passed unanimously. 4. Public Session No public comment. Closed at 4:45 p.m. 5. New Business A. Elections: Chair Rodriguez motioned to accept David McLaughlin as an Officer of Election, Vice Chair Roberson seconded. Passed unanimously. October Training a. Will be held on Saturday, October 27, 2018 from 10a.m. to 12 noon on the 3rd floor of the Executive Building. An email will be sent out to remind Officers of the training. b. Make-up training - TBD 4. Election Materials Vice Chair Roberson presented a list of Envelope only checklist which will be worked on to be added to the current closing checklist. Vice Chair Roberson presented SOR opening and closing procedures. Vice Chair Roberson made a motion to change the returning process to: a. Blue bins will be put in the DS200 at the close of polls to be picked up by the Custodians.  Page 4. b. Chiefs will return to the Registrar’s Office: c. Envelope #3 and Envelope #6 boxes, and the black briefcase with envelopes. d. Slotted box will be delivered to the Precincts the Monday night before the Election. e. Chiefs will only pick up Pollbook, AB List and Chief’s Hand Receipt Packet on Monday night. Vice Chair motioned to accept new procedures, Secretary Braman seconded, passed unanimously. Chair Rodriguez made a motion to keep the non-slotted black boxes for the future. Secretary Braman seconded. Passed unanimously. f. Vice Chair motioned to cut the DS200 opening tapes, have them signed and put in envelope #2 and 2A until the end 7 p.m. when the closing tapes will be cut and signed and put in same envelopes. Secretary Braman seconded. Vote as follows: Chair Nay Vice Chair Yea Secretary Yea g. Upon return the handcarts and boxes #3 and #6 will be secured. h. Vice Chair Roberson will present the Chief’s training with the cooperation of the Chair and Secretary at 9 a.m. on October 27, 2018. as well as the DS200 training. Next meeting will be the Canvass on November 7, time TBD.
