Gardner Elementary School Financial Subcommittee Meeting Minutes Wednesday, December 1, 2021 Zoom Meeting 4:00 p.m. Members Present Dr. Mark Pellegrino, Superintendent of Schools; Jennifer Pelavin, School Committee Vice Chair; Mark Hawke, Director of Finance and Operations; Robert Hankinson, Gardner Citizen & Former City Engineer; Wayne Anderson, Facilities Director; Also Present Dr. Steve Hemman, Special Projects Assistant to the Superintendent; Tim Alix, Senior Project Manager, Colliers International; Matthew Dunn, Sr. Construction Representative, Colliers International; Kristian Whitsett, Architect, Jones-Whitsett Architects; Joshua Cormier, Purchasing Director, City of Gardner; Alan Minkus, OPM; Colliers International; Brenda Smith, Administrative Assistant to the Superintendent; Recording Secretary. Call to order Dr. Mark Pellegrino, called the meeting to order at 4:00 p.m. Approve Minutes Mr. Wayne Anderson moved to approve the minutes from the Financial Subcommittee Meeting on November 3, 2021 at 4:01 P.M. Seconded by Ms. Jennifer Pelavin Vote – so voted Approve Bills & Orders, The following invoices were presented to the committee: ● Allied Testing Laboratories, Inc. Invoice #23479, dated November 6, 2021, in the amount of $2,400.00 Mr. Wayne Anderson moved to approve Invoice #23479, from Allied Testing Laboratories., Inc. Seconded by Ms. Jennifer Pelavin Vote - so voted Report from OPM Updates Mr. Timothy Alix reviewed the budget to date with the committee. He reviewed them in detail and feels overall we are doing great with finances. Still at the point of getting supplies in has been a challenge for all contractors, the supply chain is running low everywhere. Report from Architects: Mr. Kristian Whitsett reviewed the latest November 30th Narrative of Summary Requests change orders with the committee. There is a fair amount of change orders coming in and we will need to review and approve to keep the work going at a steady pace. Change Orders to date: ● Change Order 1- $222,206.07 was approved 3.17.2021 ● Change Order 2 - $54,350.00 was approved 4.7.2021 ● Change Order 3 - $81,982.23 was approved 5.19 2021 ● Change Order 4 - $83,955.56 was approved 6.2.2021 ● Change Order 5 - $81,046.34 was approved 7.21.2021 ● Change Order 6 - $61,332.67 was approved 8.4.2021 ● Change Order 7 - $65,002.00 was approved 9.1.2021 ● Change Order 8 - $133,047.02 was approved 9.15.2021 ● Change Order 9 - $120,300.04 was approved 10.6.2021 ● Change Order 10 - $83,985.00 was approved 11.17.2021 ● Change Order 11 - $297,156.00 for approval 12.1.21 Summary of Requests - o CO#082 Added CMU wall Seismic tie-backs $101,796.00 o CO#133 Ceiling changes in Connectors $ 4,840.00 o CO#139 Cafeteria Metal Panels $ 14,706.00 o CO#167 Gas Piping (Not to exceed) $ 4,989.00 o CO#170 Add S1 sink in B113A to Plumbing Scope $ 4,507.00 o CO#176.2 Wall Pad Portion $132,407.00 o CO#180 Angles soffit at C-Wing corner ducts $ 3,212.00 o CO#185 Parapet roof changes (Not to exceed) $ 15,806.00 o CO#186 Roof Edge Metal (Not to exceed) $ 6,893.00 o CO#188 Site Concrete (Not to exceed) $ 8,000.00 TOTAL $297,156.00 Ms. Pelavin asked about the padding level and how its designed on CO# 176.2 Wall Pad? Mr. Anderson will email the site link out so the subcommittee sees them. Mr. Mark Hawke motioned to recommend approval of Change Order #11 in the amount of $297,156.00 Seconded by Mr. Wayne Anderson Vote – so voted Updates: Mr. Whitsett discussed the furniture budget that’s still higher than what was expected. Still working on this and moving along well, putting work out to bid. Mr. Alix shared the window testing process going on. Tested windows, appears caulking around the windows is supposed to attach to the air & vapor barrier that’s not working well. We are working on another source at this time. That’s holding up insulation of windows and masons on exterior venire.
