Fourth of July Committee

Mike Morris of Glendale P.D. The meeting was called to order at 6:32 pm with the pledge of allegiance. We started with introductions. The minutes of the January meeting were approved unanimously. Fundraising: Tom talked about booklet sales. One major change is Erewhon was purchased, so whether they can still contribute/participate is to be determined. Ann Deuser shared her plan regarding 14 Glendale events throughout the year. She wants to do 3 for the price of two: if a business buys an ad for 4th of July and Music in the Glen, they get a free ad for the Root Beer Bash. The ad prices will stay the same for fourth-of-July, and they would be the same (as 4th of July) for Music in the Glen. Ann has gotten the celebration into Travel Wisconsin, Milwaukee 365, Summer Nicolet Rec Book, Rec Dept handout in 2000 students’ backpacks, mentioned at chamber of commerce breakfast. There was discussion about whether we should have sponsors on a sign in addition to the booklet or just the booklet. Bingo: Ann Deuser contacted the Elks about running bingo, and they’re excited, but they’ve never done it off site and many of them will be out of town. Then she talked to the bingo supply people about doing fun bingo. Jill mentioned that a nursing home might lend us a Bingo set. Ann said “Welcome to Glendale” could run “fun bingo.” It would be free and prizes would be promotional materials like a “Welcome to Glendale” Frisbee etc. Jenna asked about charging money to pay for the tent, but then we would have to be licensed and follow a lot of strict regulation, so we can’t charge. If we do fun bingo, we need to accept that it will cost us. Tents: Shawn talked about prices and uses of various tents including the small and medium sized tents we’ve had in the past as well as a huge tent, 60’ x 100’. Eric passed out visual aids. Jenna talked about the fact that only one “loud” event can happen in a tent at a time. Mary Lynn asked about programming for one tent versus two. Tom asked about the option of purchasing a tent and paying for it over a couple years. Marty suggested that if we have one tent/stage, we start with the talent show and then Pat McCurdy and then the nighttime band, and possibly sprinkle in small acts during downtime. There was talk of whether we need more rental chairs or if we will just put picnic tables in the big tent or round tables with some high-top tables to stand at. There was much discussion about orientation and position of a 60’ x 100’ tent. Jill moved that we pursue option #2 from Shawn’s list, one large tent 60’ x 100’ for a total cost of $5,512. Motion passed, ten to one. `` Marty will connect with Sara regarding Pat McCurdy. We have PA already, so he doesn’t need to bring that. We need to know how much set-up time he needs. Marty moved that we have the talent show first, right at noon (or as close as possible) to noon. Motion passed unanimously. Parade: Jill talked about the Shrine Longriders, who now want $1500 rather than $750. We decided that is too much. Jessica was going to talk to other communities to see if we can share parade acts. Jill needs a call from Jessica. Shuttle: Marty told us that Nicolet said “no” to using their vans due to liability. Marty also asked Riteway (school bus co.). They have a 33-passenger mini-coach available from 11am to 11pm from Nicolet to the park to Glen Hills in a continuous loop. This would cost $755 for bus, gas, and driver, not gratuity. There was talk about the fact that from 8 until 11, one bus isn’t enough; we need four or five. Jill suggested that elderly and disabled get the first priority. Eric mentioned that if we do this, we need assertive volunteers to control the loading lines. We decided to wait and see what Ann D. can find out from the owner of Riteway, whom she knows. The meeting was adjourned at 8:15pm Next Meeting The next meeting will be on Wednesday, March 7th, at 6:30 at City Hall.
