City of Glendale Official Minutes – Music in the Glen Meeting July 16, 2018 Meeting was called to order at 3:04 p.m. Roll Call: Present: JoAnn Shaw, Chair; Members; Rita Radke, Robert Radke, Lee Carey Johnson, and Carol Pierner. Absent: None Staff Present: Anna Voigt, Administrative Secretary Guest: Ann Deuser, Executive Director of Welcome to Glendale Convention & Visitors Bureau. Open Meeting Notice. In accordance with the Open Meeting Law, the local news media was advised on Friday, July 13, 2018, of the date of this meeting; that the agenda was posted on the official bulletin board of City Hall, the Glendale Police Department, and the North Shore Library; that copies of the agenda were made available to the general public in the Municipal Building and the Police Department, and those persons who requested, were sent copies of the agenda. Adoption of Minutes of meeting held on June 5, 2018 Motion was made by Ms. Pierner, seconded by Ms. Carey Johnson, approving the minutes held on June 5, 2018. Performance Updates Ms. Shaw stated that all four performances have been well attended. The marketing has helped. There was only a small issue of members from 5 card stud driving on the patio. It was quickly corrected. Ms. Shaw stated that Police Officers won’t give tickets for anyone parking on the north side of the road during Music in the Glen. Ms. Shaw mentioned that parking would become an issue as soon as construction started north of the park. Ms. Carey Johnson stated that high school baseball would be done in the spring and there would not be any high school baseball in the summer during concerts. Mr. Radke wanted to bring up the potential issue of traffic patterns from the baseball games during Music in the Glen. Mr. Radke is concerned that players will be cutting through from the west baseball diamond to the locker rooms. Ms. Shaw asked if the sponsors were satisfied. Ms. Deuser stated she seemed like all sponsors were happy. Mr. Radke mentioned he thought all of the concerts were drawing different age groups. Sound Technicians Ms. Shaw asked the committee for the history of the sound equipment. Mr. Radke stated that Dan Neesley provided the sound when Music in the Glen started. When Dan moved on Mr. Radke provided the sound. The reason they wanted to provide the sound equipment was so they had control over the sound quality. It also gave the committee a chance to have performers who don’t have sound equipment. When music in the glen was just a show-mobile all of the equipment was kept locked and kept inside and rolled out for the shows. Currently at the park everything needs to be moved every show night. Ms. Shaw asked if there was list of equipment that was needed for every show. Mr. Radke stated that different equipment was different for every show. For example the barbershop needs 4 mics and the Concord Chamber needs 20 mics. The hope was when the park was built Music in the Glen would have a location with equipment on site that could be used by the performers. Mr. Radke offered input on the amphitheater while the park was being built, but wasn’t included on the final plans. Ms. Carey Johnson stated Mr. and Ms. Radke put in a lot of time and effort behind the scene. The committee expressed their appreciation for all the hard work and dedication that the Radke’s put in for Music in the Glen. Ms. Shaw stated that if Mr. Radke would like to be paid for his services he couldn’t be considered as a committee member, because vendors aren’t volunteer committee members. If Mr. Radke is interested in becoming a vendor that works for the committee Ms. Shaw asked Mr. Radke to come up with a quote for his time and services for set up. If Mr. and Ms. Radke become vendors instead of committee members the committee cannot vote on hiring them because than the committee does not have a quorum. Ms. Deuser stated she would need to know a price so she can raise more money next year. Concert Updates Ms. Shaw stated she would let the crowd know at the next few shows that they need to move closer to the stage. Mr. Radke stated that there were smaller shows. Ms. Radke asked if the idea of selling canned beer out of a wheelbarrow was working. Ms. Shaw stated she thought it was helping and she mentioned it at the begging of the show. Ms. Carey Johnson stated that she heard complaints in the concession line while handing out popcorn. Ms. Pierner asked if anyone was drinking too much. Ms. Radke and Ms. Shaw stated that everyone has been pleasant. 2019 Season Ms. Deuser suggested having a band directed towards kids next year. Some potential sponsors might be interested in sponsoring a kid event. She also suggested having a singles night or a date night for one concert. Set Next Meeting Date The committee scheduled the next meeting for August 22, 2018 at 3:00 PM at City Hall. Old/New Business Ms. Carey Johnson wanted everyone to know she may not be at the next Music in the Glen due to prior commitment. She asked if she could drop off the popcorn if someone would watch it. Ms. Radke and Ms. Deuser said they would be able to keep an eye on it. Ms. Deuser asked if she planned on doing a popcorn bar having different flavors of popcorn available. Ms. Carey Johnson responded that she would get supplies for the popcorn bar.
