City of Glendale Music in the Glen Meeting Minutes April 30, 2019 Meeting was called to order at 3:30 p.m. Roll Call: Present: JoAnn Shaw, Chair; Members: Rita Radke, Robert Radke, and Lee Carey Johnson (3:33p.m.) Absent: Tristann Rieck Staff Present: Rachel Safstrom, City Administrator and Candice Green, Deputy Clerk/Treasurer Guest: Ann Deuser, Executive Director of Welcome to Glendale Convention & Visitors Bureau. Open Meeting Notice. In accordance with the Open Meeting Law, the local news media was advised on Monday, April 29, 2019, of the date of this meeting; that the agenda was posted on the official bulletin board of City Hall, the Glendale Police Department, and the North Shore Library; that copies of the agenda were made available to the general public in the Municipal Building and the Police Department, and those persons who requested, were sent copies of the agenda. Adoption of Minutes of meeting held on March 20, 2019. Bob Radke called for a motion, seconded by Ms. Radke, approving the minutes held on March 20, 2019. Update on Contracts. Ms. Shaw informed the committee that most of the contracts are received except for Concord Chamber Orchestra who had requested additional information; we are still waiting on their signed contract. We have received W-9 from almost everyone. The Nicolet High School band will not be able to perform this year due to scheduling conflicts for this year’s Music in the Glen; however, they are in agreement to performing June of 2020. The Ultimate Legends will be accompanying Eric “Neil” Diamond during his performance; they have their own sponsors, they have their own sound equipment. No back-up singers will be needed, no horn section will be there, and they will need 3 microphones for the guitars. Concord Chamber Orchestra wants a 10-15 min break, and that has been approved by JoAnn Shaw. It will be a 90 minute show with a 15 minute break in the middle. Ms. Deuser suggested that announcements be made during the 15 minute break so that we don’t lose concert goers at the break. Discuss Sponsorship Status / Fundraising Options. Ms. Deuser gave an update on the fundraising for the Music in the Glen stating that there has been $14,250 raised for the concert and booklets. She also stated that a press release has been done for Summer Events at all major media. Key Magazine made mention of Music in the Glen in the 42,000 subscriber publication. Update on Request from individual to have a booth from Ann and Sponsor. There was much discussion about letting the major sponsors handle whether or not to allow individuals to run booths at the event. Since Doris Appelbaum was already approved to have a booth, hers would be allowed. Going forward, the committee wanted to get out of the middle of booth sponsorship and let the key sponsors decide whether or not to allow individual booths. Request from Eric Blaufuss, Assistant Director of Daley Debutantes Baton and Drum Corps. The decision has been made not to allow them to open for any acts at Music in the Glen. Mr. Radke stated, the 30 minutes prior to the main concert is not free time and could cause conflicts with the scheduled performances. Ms. Deuser mentioned that she could try to get them on the schedule for the Root Beer Bash. City Administrator Safstrom agreed that the Root Beer Bash would be a better fit for the band; Ms. Deuser stated there would be space in between two already scheduled acts. In-Kind Donations from Lee Carey Johnson. Lee Carey Johnson mentioned that with the exception of the Radkes, she is the only other sponsor of Music in the Glen that makes contributions directly out of her own bank account. She would like a portion of the $450 donation in goods/services that she donates to count towards cash donation. City Administrator Safstrom requested that when this comes to vote at the next meeting, Ms. Johnson recuse herself from the discussions as it directly affects her. Set Next Meeting Date. The committee scheduled the next meeting for June 12, 2019, at 3:00 p.m., at Richard E. Maslowski Community Park. Old/New Business. The committee liked the look of the draft/proof of the marketing booklet. Ms. Shaw will assist in the proofing of the marketing booklet. Adjournment.
