Ryan Municipal Building JULY 4TH COMMITTEEJULY 4TH COMMITTEE Minutes May 14, 2025 Village Hall Board Room 1.0 Call to Order & Roll Call- N. Wilkes called to order at 6:34pm. Present: N. Wilkes, E. Valaitis, R. Lindner, S. Sabbatini, D. Besson, I. Thomson, Officer Henner, O. Sterny, M.Eternicka 2.0 Minutes–Approval of April 16, 2025, minutes (S. Sabbatini, M. Eternicka – All Approved) 3.0 Treasurer’s Report • M. Eternicka presented an updated Financial Report • I. Thomson presented costs for the purchase of a new PA System. N. Wilkes made a motion to fund the purchase of a new PA system including four speakers, 2 Mics & accessories for up to $1,500. 2nd M. Eternicka. All Approved. I. Thomson will follow up with S. Kulik for PO. 4.0 Safety & Security Review • Officer Henner was present for discussion. • Officer Henner received the 2025 Firecracker Four route; he will go through the route with Buck form Village DPW to determine areas to cone off. Officer Henner will also adjust personnel to cover the new route. • The committee should confirm with Striders that they have signage designating the new route. Also, if they have any volunteers to help man the intersections. Permits & Contracts • All Permits and Contracts secured. Nothing to update. 5.0 Food and Drink Donations/Vendors • Food Trucks and Brewery will be in the upper Library Parking Lot. Friends of the Hales Corners Library will charge a $50 fee for food Vendors and $100 fee for Beer Vendor plus a $150 refundable security deposit. • Contract for Food Vendors was reviewed by the Village’s attorney and approved by the Library Board. • Five contracts have been sent out to vendors. In & Out Foods, Perspective Brewery, Ochos Mexican Grill, Tundra Treats and Memph-Made Lemonade. 6.0 Events 6.1 Firecracker Four • Paulet Czerwinski and Kevin Laufer were not present. • The 2025 course is set and discussed during safety & security. Office Henner will review the course with DPW and make necessary safety changes. • The 2025 Firecracker Four Run will not be a certified run this year due to the new routing. 6.2 Car Show • Holtz and Lion’s Club are planning. Should be all set. 6.3 Children’s Parade • A. Dunning not present. • Alyssa has her Children’s parade volunteers for judging. • Eileen has the medals. 6.4 Children’s Games • E. Valaitis reported. • Dan O’Donnell confirmed to emcee Children’s parade awards and games. • Eileen will ask D. O’Donnell to promote upcoming events including Patriotic Pet, Hot Dog Eating Contest and Bed Races. • Eileen has ribbons and water balloons. • Eileen has volunteers for ice cream and children’s games. 6.5 Patriotic Pet Costume Contest • N. Wilkes reported. • Judges, prizes and sponsors confirmed 6.6 Pie Baking Contest • I. Thomson reported. • Event will run the same as in the past. • Eileen gave Ian the contest medals. 6.7 Hot Dog Eating Competition • I. Thomson reported. • Changing Start time to 12:30 pm • Same rules as last year • Ian wants to pre-stuff the hot dog buns. S. Sabbatini offered to assist. • Ian will contact the Fire Department to have medical support present. 6.8 Bed Races • R. Lindner and S. Sabbatini reported. • Beds will be moved to a more accessible location. • The Bed’s wheels and alignment will be worked on. • Rand has updated posters and rules on the committee’s Google Docs • Bed Trophies for first place have been ordered. • Teams will be grouped at time of entry. • Will bring the “vintage” t shirts out of storage to hand out for free. • Discussed additional promotion day of the event. -Add to Dan O’Donnell’s announcements - Further discussion to have sandwich boards listing the day’s events made to display at pool house during Firecracker Four and Children’s games and one at Holz during the car show. M. Eternicka made a motion to budget up to $200 to purchase two 4th of July events sandwich boards. I. Thomson 2nd. All were in favor. N. Wilkes will order boards. -The Committee will continue to discuss having one of the beds on sight during Firecracker Four and Children’s games for photo ops and to promote the event in hopes of attracting additional teams. Concern about the possible damage to the bed was discussed. 6.9 Big Parade • M. Eternicka has coordinated with N&S Towing and will oversee the review stand set up. • I. Thomson reported the parade units are confirming. Many of the regular units should participate. • I. Thomson to post Parade Unit Application form on Google Docs • We are penciled in for the UW 5th quarter for parade and performance. Waiting on final details. • N. Wilkes presented a design for Float Best in Show Plaque. R. Linder made a motion to authorize up to $30 for the purchase of Plaque. M. Eternicka 2nd. All were in favor of authorizing purchase. 6.10 Fireworks • Contract and deposit have been made with Wolverine. • Rain date will be Hales Corners National Night Out Aug. 5th. 7.0 Publicity 7.1 Flyer • N. Wilkes presented committee with the final draft of the flyer. 7.2 Press Release • N. Wilkes will prepare a press release. Last year the Now and Journal Sentinel published old information on their 4th of July events listings. Next Meeting Dates: Wednesday, June 11th and Wednesday, July 2 at 6:30p 8.0 Adjournment- 7:40 pm Motion by N. Wilkes second by M. Eternicka
